We are seeking a highly organized, proactive, and adaptable Female Executive Assistant to support the CEO of a fast-paced Dubai real estate business. This role combines business operations, client coordination, and personal task management to ensure smooth day-to-day execution and allow the CEO to focus on high-value activities.

Responsibilities of Executive Assistant:

Schedule & Communication Management

  • Manage and maintain the CEO’s calendar, including booking calls, meetings, property viewings, and personal appointments.
  • Send and respond to emails, WhatsApp messages, and social media DMs on behalf of the CEO.
  • Book networking events, private lunches, and media opportunities.

Client & Lead Management

  • Filter and identify qualified clients from multiple channels (social media, portals, referrals).
  • Schedule calls and follow-ups according to company process.
  • Handle client KYC/onboarding paperwork, ensuring compliance with UAE regulations.
  • Coordinate with developers, agents, and third-party partners to gather required documents and updates.
  • Being able to upload all data on CRM

Operations & Administration

  • Maintain organized records of client documents, templates, and brochures.
  • Monitor and update CRM with all client interactions and lead progress.
  • Prepare proposals, presentations, and reports for client meetings.
  • Manage internal finance/admin paperwork and track commission status.

Performance Tracking & Reporting

  • Monitor and report key performance metrics, user activity, and sales progress.
  • Stay updated on UAE real estate trends

Personal Support

  • Assist with personal tasks such as travel bookings, appointments, bill payments, and errands.
  • Maintain strict confidentiality in handling personal and business matters.

Requirements:

  • Minimum 1 year experience in real estate operations, sales support, or executive assistance within the UAE.
  • Strong understanding of the Dubai property market, transaction process, and documentation requirements.
  • Experience with CRM systems, Google Workspace, and social media account management.
  • Excellent written and spoken English (Arabic is a plus).
  • Highly organized, proactive, and able to work with minimal supervision.
  • Flexible and willing to be on call outside of standard working hours when urgent tasks arise.
