Job Summary
Affordable Group of Companies is seeking a highly motivated, detail-oriented, and bilingual Admin Assistant to provide administrative and legal support to the senior legal executive team. This is an excellent opportunity for a fresher to gain experience in a fast-paced corporate environment. The ideal candidate will possess exceptional organizational skills, be capable of managing confidential legal and business information with the utmost discretion, and demonstrate a proactive approach to supporting the legal and administrative functions of the company.
Key Responsibilities
- Provide high-level administrative support to senior executives and the Legal Department.
- Assist the legal team with document management, including the organization and filing of contracts, corporate resolutions, and legal correspondence as per UAE LAW.
- Draft, proofread, and prepare legal and business documents, presentations, memos, and reports in both English and Arabic.
- Manage complex calendars, schedule meetings (including legal consultations), and coordinate travel arrangements for executives.
- Coordinate the signing, distribution, and archival of legal agreements and official company documents.
- Handle incoming communication (calls and emails) in both languages, ensuring effective screening and professional routing to the appropriate party, particularly on sensitive legal and compliance matters.
- Liaise with internal departments (e.g., HR, Finance, Operations) and external stakeholders, including government entities and external legal counsel.
- Maintain and organize company files, documents, and records (physical and digital) with a focus on compliance and security standards.
- Support the overall operational flow of the office, ensuring resources are adequately maintained.
Qualifications and Requirements
- Bachelor’s degree in Law, Business Administration, or a related field.
- 0-2 years of experience in an administrative or executive assistant role. Fresh graduates are strongly encouraged to apply.
- Mandatory fluency in both written and spoken English and Arabic is essential for document preparation and dealing with local authorities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required.
- Exceptional organizational skills, a meticulous attention to detail, and a proven ability to multitask effectively in a high-pressure environment.
- High level of professionalism, integrity, and the ability to maintain strict confidentiality regarding sensitive legal and business information.
- Ability to work independently, manage time effectively, and take initiative.
