Personal Assistant to CEO

Position Overview:

We are seeking a highly organized, proactive, and professional Personal Assistant (PA) to the CEO to support the day-to-day operations and strategic responsibilities of the Chief Executive Officer. The ideal candidate will act as the right hand to the CEO, ensuring smooth management of their schedule, communications, and executive duties. This is a high-impact, high-visibility role requiring exceptional discretion, initiative, and interpersonal skills.

Key Responsibilities:

  • Executive Support:
  • Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel itineraries.
  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Screen and prioritize emails, calls, and other communications.
  • Ensuring that the CEO's desk is clean and tidy
  • Draft and proofread correspondence, reports, and presentations.
  • Receive incoming calls
  • Ensure that the medication and food are given on time
  • Administrative Management:
  • Coordinate logistics for meetings, events, and conferences.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Organize and maintain files, records, and documents in a confidential manner.
  • Track key business priorities, deadlines, and deliverables.
  • Travel & Expense Management:
  • Plan and coordinate national and international travel arrangements.
  • Prepare travel documentation and itineraries.
  • Reconcile expense reports and manage reimbursements in a timely manner.

Qualifications:

  • Proven experience (3–5 years) as an executive or personal assistant, preferably supporting C-level executives.
  • Exceptional organizational and time management skills.
  • High level of discretion and confidentiality.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, Google Workspace, and calendar management tools.
  • Ability to manage multiple priorities in a fast-paced, dynamic environment.
