The Role

This is a high trust, execution focused role supporting the CEO directly. You will work alongside the Chief of Staff, who owns strategic priorities and executive rhythm, while you own the execution and flow of the CEO’s day to day operations.

You are responsible for ensuring the CEO’s time, schedule, and logistics run with precision and speed. You remove friction. You close loops. You keep things moving.

You will own the flow of the CEO’s day across professional and personal commitments and ensure nothing slips. You must be fast, organized, proactive, and positive. You must be comfortable operating in a high performance, high intensity environment.

Key Responsibilities:

Calendar and Time Management

• Own the CEO’s calendar with discipline and urgency
• Schedule internal and external meetings with clarity and speed
• Protect time by applying clear prioritization rules
• Audit weekly time allocation and flag inefficiencies
• Ensure all meetings have the correct context, attendees, and logistics

Inbox and Communication Support

• Triage inbox daily and flag priority items
• Draft responses where appropriate
• Track follow ups and ensure closure
• Manage inbound requests with professionalism and discretion

Travel and Event Coordination

• Organize domestic and international travel with detailed itineraries
• Coordinate logistics for speaking engagements, investor meetings, and events
• Ensure all materials, confirmations, and logistics are handled in advance

Personal and Lifestyle Coordination

• Manage personal appointments and scheduling
• Coordinate family logistics and travel
• Handle light administrative tasks that free the CEO’s focus
• Support alignment of training, health, and recovery scheduling

Operational Discipline

• Maintain clean systems across calendar, contacts, and task tracking
• Anticipate conflicts and solve them before they escalate
• Follow through without being prompted
• Operate with absolute confidentiality
