Personal Assistant to the Chairman

Overview

We are seeking a highly organized, proactive, and resourceful Female Personal Assistant with a minimum of 5 years of experience supporting high-level executives (CEOs, Chairmen), who can join immediately. The ideal candidate will excel in managing complex schedules, handling confidential information, and ensuring smooth day-to-day operations in a fast-paced and dynamic environment.

Key Responsibilities:

  • Executive Support: Provide comprehensive administrative support to top management, including calendar management, travel coordination, meeting arrangements, logistics arrangements, etc.
  • Communication Management: Act as the primary point of contact for internal and external stakeholders; manage correspondence, emails, and phone calls on behalf of the executive. Pro-active follow-ups and quick tasks management is highly essential.
  • Document Handling: Prepare, review, and organize reports, presentations, and business documents with accuracy and confidentiality.
  • Meeting Coordination: Schedule, plan, and organize meetings, including preparing agendas, taking minutes, and following up on action points.
  • Travel & Logistics: Arrange international and domestic travel itineraries, including flights, accommodation, visas, and transport. Have a solid knowledge on loyalty benefits and Skywards policies.
  • Task Prioritization: Anticipate executive needs, prioritize tasks, and ensure deadlines are consistently met.
  • Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
  • Problem Solving: Proactively address issues, identify solutions, and ensure operational efficiency for the executive’s office.

Qualifications & Skills:

  • Education: Bachelor’s / Master's degree
  • Experience: Minimum of 5 years of experience as a Personal Assistant, Executive Assistant, or similar role supporting C-level executives.
  • Exceptional organizational and time-management abilities.
  • Strong written and verbal communication English skills.
  • Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), technically equipped in using mobile banking apps, etc.
  • Ability to handle multiple tasks under pressure and meet tight deadlines.
  • High level of discretion, integrity, and professionalism.
  • Strong problem-solving skills with a proactive approach.
  • Languages: English, ideally Russian.

Pay: From AED8,000.00 per month
