Position Overview

We are seeking a highly organized, discreet, and proactive Personal & Executive Assistant to support a dynamic executive based in Long Island. This role extends beyond traditional administrative support, requiring an individual who can seamlessly manage both professional and personal responsibilities.

The ideal candidate will serve as a trusted partner, ensuring the executive’s daily operations run efficiently and without disruption. This position requires exceptional attention to detail, sound judgment, and the ability to anticipate needs in a fast-paced, ever-changing environment.

Position Details

Location: Long Island, NY (on-site daily)

Employment Type: Full-time, W-2 employee

Schedule: Flexible; hours may vary based on executive needs

Driver’s License: Required (valid NY license with clean driving record)

Key Responsibilities

Begin each day at the executive’s residence to ensure all priorities and logistics are prepared in advance

Act as the central point of coordination between the executive, remote assistant, project teams, vendors, and external partners

Manage and maintain a complex calendar, including scheduling, prioritization, and proactive daily briefings

Oversee residential renovation projects, including coordination with contractors, progress tracking, and issue resolution

Support household organization, including wardrobe management, storage systems, and logistics during renovation phases

Manage ongoing personal logistics such as appointments, prescriptions, supplies, and errands

Provide transportation to meetings, appointments, and other destinations as needed

Communicate on behalf of the executive with professionalism and accuracy across all stakeholders

Coordinate follow-ups and ensure timely completion of tasks and commitments

Execute a wide range of ad hoc responsibilities, adapting to shifting priorities as needed

Qualifications

Experience:

3–5+ years of experience as a personal assistant, executive assistant, or estate manager

Prior experience supporting high-net-worth individuals or private households strongly preferred

Demonstrated ability to manage multiple stakeholders, vendors, and concurrent projects

Experience overseeing home or office operations, including contractor coordination

Skills & Competencies:

Exceptional organizational skills and attention to detail

Strong written and verbal communication skills

Proficiency with scheduling and task management tools (e.g., Notion, Asana, or similar)

High level of discretion and professionalism when handling sensitive information

Proactive mindset with the ability to anticipate needs and solve problems independently

Adaptability in a fast-paced, evolving environment

Physical capability to assist with light household organization and related tasks

Required Criteria

Valid New York State driver’s license with a clean driving record

Willingness to sign a confidentiality and non-disclosure agreement

Verifiable professional references from prior assistant or similar roles

Ability to manage complex, multi-faceted responsibilities simultaneously

Compensation & Benefits

Salary: $70,000 – $90,000 annually (commensurate with experience)

Paid Time Off: 10 vacation days plus major holidays

Performance Review: 90-day review with potential compensation adjustment
