Job Summary

The Plant Admin Assistant II provides essential administrative support to the plant management and operations team, ensuring the efficient and smooth running of daily office functions within the manufacturing facility. This role involves a variety of clerical, organizational, and communication tasks to support plant productivity and overall administrative effectiveness.

Job Responsibilities
  • Provide comprehensive administrative support to the Plant Manager and other departmental heads, including scheduling meetings, managing calendars, and preparing correspondence.
  • Prepare, compile, and maintain various reports, presentations, and documents using Microsoft Office Suite (Word, Excel, PowerPoint).
  • Process and track purchase requisitions, expense reports, and invoices, ensuring accuracy and adherence to company policies.
  • Manage office supplies inventory, place orders, and ensure adequate stock levels for the plant.
  • Organize and maintain both physical and electronic filing systems, ensuring confidentiality and easy retrieval of information.
  • Coordinate travel arrangements, accommodation, and itineraries for plant personnel and visitors.
  • Act as the primary point of contact for internal and external inquiries, directing calls and emails to the appropriate departments or individuals.
  • Assist with onboarding new employees by preparing necessary paperwork, setting up workstations, and providing initial administrative guidance.
  • Support Human Resources functions as needed, such as maintaining employee records, distributing internal communications, and assisting with recruitment logistics.
  • Organize and coordinate plant events, meetings, and training sessions, including room setup, catering, and material preparation.
  • Ensure the administrative office area is tidy, organized, and professional.
  • Perform other administrative duties as assigned by management to support plant operations.
Job Qualifications
  • Education: High school diploma or equivalent required. An Associate's degree in Business Administration, Office Management, or a related field is preferred.
  • Experience: Minimum of 2-3 years of administrative support experience, preferably in a manufacturing or industrial environment.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with enterprise resource planning (ERP) systems or other administrative software is a plus.
  • Communication Skills: Excellent written and verbal communication skills in English. Arabic language proficiency is a significant advantage.
  • Organizational Skills: Strong organizational and time management skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Attention to Detail: High level of accuracy and attention to detail in all work performed.
  • Interpersonal Skills: Ability to interact professionally and effectively with all levels of staff, visitors, and external contacts.
  • Discretion: Proven ability to handle confidential information with integrity and discretion.
  • Problem-Solving: Proactive approach to identifying and resolving administrative issues.
