Job Purpose
The PMS Specialist is responsible for building and maintaining the company’s Performance Management System (PMS) and Standard Operating Procedures (SOPs). This role ensures that all performance metrics and operational processes are clear, standardized, and aligned with company goals. The specialist helps create a culture of accountability and continuous improvement through structured frameworks and accurate documentation.
Job Duties
Performance Management System (PMS)
- Design, implement, and continuously enhance the PMS framework.
- Coordinate with departments to define measurable KRAs and KPIs.
- Facilitate mid-year and annual appraisal cycles.
- Analyze data to identify performance trends and skill gaps.
- Generate performance dashboards and submit insights to management.
- Support automation of KPI tracking through Google Sheets or HRMS tools.
- Ensure PMS compliance and train employees on system usage.
Standard Operating Procedures (SOP)
- Collaborate with departments to identify and document process workflows.
- Create standardized SOP templates and maintain version control.
- Review and update existing SOPs for clarity and operational efficiency.
- Conduct audits to ensure adherence to approved procedures.
- Manage a central digital repository for all SOP documents.
- Organize training for employees on SOP compliance.
Collaboration & Reporting
- Partner with department heads for KPI alignment and process documentation.
- Prepare monthly and quarterly PMS and SOP reports.
- Support HR digital transformation and process automation initiatives.
Required Qualifications
Knowledge
- Strong understanding of performance evaluation systems and KPI frameworks.
- Familiarity with HR operations, documentation standards, and workflow optimization.
- Knowledge of AI Tools
Skills
- Proficiency in Google Workspace tools (Sheets, Docs, Slides, Drive).
- Strong analytical and reporting skills.
- Data interpretation and dashboard creation.
- Excellent written and verbal communication.
- Project management and stakeholder coordination.

Education
- Bachelor’s degree in Human Resources, Business Administration, or Operations.

Experience
- 0–5 years of experience in HR, PMS implementation, or process documentation.
- Experience with automation or AI-integrated HR processes is an advantage.
