Portfolio Property Administrator

Overview of Job: Assist with administrative support in fast paced commercial real estate office for a portfolio of managed properties, working at our company office located in the suburbs of Chicago and occasionally traveling to city property and/or client locations.

Manage fundamental accounting functions, work order processing and tenant service coordination. Demonstrate strong interpersonal, organizational and customer service skills and general business knowledge. Attempt to resolve questions and problems independently. Provide support to the Property team and Client. Constant focus on operational effectiveness, efficiency and continuous improvement. Complete additional projects that may be assigned from time to time.

Essential Functions of the Job:

· Perform general administrative responsibilities such as taking meeting minutes, coding and submitting and/or inputting invoices; preparing correspondence/transmittal letters, administering property management software: including tenant communication, HVAC inventories, inspection reports and work orders, etc. Oversee collection and enforcement of Certificate of Insurance policies related to tenants, vendors and contractors in compliance with properties’ outlined insurance requirements and track expirations dates in company software.

· Assist with monthly billings for assigned properties

· Assist with monitoring tenant delinquencies

· Assist in contract management and maintain building contract summary

· Provide support to management team

· Interact with building tenants, outside vendors, contractors and visitors as needed

· Assist with tenant communication, and onboarding

· Perform general office management, including maintaining files, composing letters, binding, scanning, etc.

· Research, analyze, and resolve payment and vendor issues in a timely and professional manner

· Maintain an accurate, efficient electronic filing system for all property documents using Xroads system.

· Perform additional responsibilities as requested

Required Skills and Abilities:

· 1+ years of previous administrative experience in a commercial real estate office

· Excellent oral and written communication skills

· Prior employment history that demonstrates the ability to produce accurate and

detailed work product in an organized manner

· High proficiency in Microsoft-based software

· Solid organizational skills with the ability to work efficiently with minimal managerial oversight

· Yardi experience a plus.

Job Type: Full-time

Base Pay: $55,000.00 - $65,000.00 per year

Experience:

  • Yardi Voyager: 1 year (Preferred)
  • commercial real estate administrative: 1 year (Required)
