Position Overview:

The Practice Manager will be responsible for overseeing staff, optimizing operational efficiency, and fostering business growth, all while upholding exceptional standards of customer service. This position is essential to the continued success and expansion of the practice, necessitating a proactive approach to problem-solving, team leadership, and strategic business development. The Practice Manager will exhibit a combination of strategic leadership abilities, operational expertise, and a profound enthusiasm for the aesthetics industry. This role demands a comprehensive skill set to navigate complex challenges and drive the practice towards continued excellence and growth.

Education and Experience:

  • Bachelor’s degree in Business Administration, Healthcare Administration, or a related field.
  • 3-5 years of experience in medical practice management, with a preference for experience in medical aesthetics or a related field.

Essential Skills and Abilities:

  • Operational Management: Extensive experience in managing all aspects of practice operations, including financial oversight, human resources, EMR (Nextech) & billing oversight, and workflow management. Ability to streamline operations to maximize efficiency and ensure smooth day-to-day functioning.
  • Leadership and Team Building: Proven ability to develop and lead a high-performing team, with strong interpersonal skills that inspire and motivate staff. Expertise in fostering a positive workplace culture that emphasizes teamwork, professional development, and patient care excellence.
  • Personnel Management: Demonstrated experience in all aspects of personnel management, including recruitment, onboarding, staff training, performance evaluations, and administration of payroll and benefits systems. Proficiency in developing and implementing policies and procedures to support staff and enhance practice operations.
  • Financial Acumen: Strong background in financial management and reporting, including bookkeeping, financial forecasting, budgeting, and inventory control. Experience managing accounts payable and receivable, as well as handling monthly and quarterly tax reporting for state and city requirements. QuickBooks Online experience preferred.
  • Marketing and Business Development: Experience in driving business growth through marketing initiatives, including social media, digital marketing, and customer quality assurance programs. Ability to collaborate on patient retention strategies and develop campaigns that enhance the practice’s visibility and reputation.
  • Compliance and Credentialing: Expertise in managing credentialing processes and ensuring compliance with all regulatory requirements. Familiarity with electronic medical records (EMR) systems and billing management is essential.
  • Reporting and Analysis: Ability to generate, analyze, and present detailed reports on practice performance, financial health, staff productivity, and patient satisfaction metrics.

Key Responsibilities:

  • Practice Operations: Oversee and optimize all operational aspects of the practice, ensuring efficiency, compliance, and a high standard of patient care.
  • Staff Management: Recruit, train, and manage staff, fostering a collaborative and professional environment. Handle all aspects of HR, including payroll, benefits, and employee relations.
  • Financial Management: Monitor and manage the financial health of the practice, including budgeting, financial reporting, and inventory control. Ensure timely and accurate handling of accounts payable, accounts receivable, and tax reporting.
  • Marketing Collaboration: Work closely with the marketing director & team to develop and execute strategies that drive patient acquisition, retention, and satisfaction. Assist with social media and digital marketing efforts to enhance the practice’s brand and visibility.
  • Credentialing & Compliance Management: Ensure that all practitioners are properly credentialed and that the practice complies with all relevant regulations and standards. Maintain up-to-date knowledge of industry changes and implement necessary adjustments to keep the practice in compliance.
