Job Summary:
The Practice Manager serves as the operational and administrative leader for the AHP (Adult HIV Program)

clinical program. This role is responsible for overseeing daily clinic operations, staff management, financial and

billing workflows, patient access, quality and compliance metrics, and program performance. The Practice

Manager functions as a key liaison between clinical leadership, administrative teams, finance, billing, and

external partners to ensure efficient, compliant, and patient-centered operations.
Job Description:
The Practice Manager oversees day-to-day clinic operations to ensure efficient, patient-centered workflows
across all service lines. This includes supervision and support of Medical Assistants (MAs), Patient Service
Representatives (PSRs), and other support staff; coordination of staffing schedules and coverage;
onboarding, training, and performance management; and development and maintenance of standardized
workflows, policies, and operating procedures to support high-quality clinical care.
  • The Practice Manager supports grant-related operations and reporting, assists leadership with program
development and sustainability initiatives, and participates in strategic planning, workflow redesign, and
operational growth efforts to advance the mission and long-term viability of the program.
  • The Practice Manager ensures compliance with Ryan White requirements, grant-related regulations, and
applicable policies; supports audit readiness; and participates in quality improvement, safety, and
emergency preparedness initiatives. This role monitors and reports on key operational, quality, and
performance metrics, including patient access, no-show rates, and productivity measures.
  • The Practice Manager manages provider schedules, clinic templates, and access workflows to optimize
patient flow and appointment availability. This role is responsible for monitoring and addressing no-show
rates, improving patient access, overseeing registration and intake processes, and responding to patient
grievances and customer service concerns in collaboration with clinical leadership.
The Practice Manager provides operational oversight of billing, coding, buy-and-bill, and invoicing workflows. This includes serving as a liaison with billing, finance, and revenue cycle teams; monitoring clinic productivity and financial performance; supporting accurate charge capture; and assisting with 340B-related workflows and reporting to support program sustainability. · The Practice Manager oversees inventory, supplies, and equipment to ensure uninterrupted clinic operations. Responsibilities include managing vendor relationships and contracts, coordinating facilities and building access issues, and addressing safety and infrastructure needs in collaboration with institutional partners.
