The Practice Operations Manager is responsible for overseeing daily clinical operations to ensure efficient, high-quality patient care and support services, fostering staff development to ensure seamless coordination and integration of care across the Patient Services, Therapy, Clinical, and other departments within CRIT. This role works in close collaboration with the Manager of Rehabilitation and oversees all operations within the Patient Services department, including front desk functions, scheduling, billing, credentialing, and medical assistant support. It includes managing front-line operational activities, staff coordination, and ensuring facilities-related tasks are completed timely and effectively in partnership with the facilities technician. The Practice Operations Manager supervises, manages, and evaluates assigned team members while ensuring full compliance with applicable regulatory standards.
WORKING CONDITIONS
General office and sedentary, requiring extended periods of time at a keyboard or workstation. Ability to exert a light degree of physical effort including carrying, pushing, pulling, climbing, balancing, standing, stooping, kneeling, crouching, crawling, walking and the assisted lifting of objects and materials up to 25 pounds. Specific vision abilities include close vision and distance vision. Limited exposure to adverse environmental conditions, such as dirt, dust, odors, humidity, temperature and noise extremes, wetness and vibrations. Use of personal computing equipment, telephone, multi-functioning printer and calculator. Manual dexterity, ability to reach, bend, and use 2-step stool while safely lifting and lowering boxes. Ability to travel to and from meetings, training sessions or other business-related events. May be required to work after hours to include weekends and holidays.
ESSENTIAL FUNCTIONS
Ensures optimal performance of center through proper management and communication with all CRIT team members.
Leads, manages and supports the Patient Services Supervisors, the Patient Services team members, Medical Assistant team and Facilities team.
Maintains accountability and oversight of the full revenue cycle, authorizations, billing, claims, aging accounts, accounts receivable and credentialing.
Disseminates the organizational culture of CRIT-USA with families as well as all Team Members.
Implements efficient and accurate processes for caseload management in regards to departmental capacity, productivity, authorizations and third-party payments.
Maintain accurate internal and external medical records and patient’s account information.
Supervises the billing team in various duties, such as account management, communications with insurance providers, collections, cash posting, contract analysis and billing.
Reviews various status reports to include, but not limited to, productivity, accounts receivable, aging accounts, unapplied credits, open encounters, cancellations and scheduling in order to analyze trends.
Completes and follows up on quality and satisfaction patient surveys.
Monitors volume for charge and collections posting on a monthly basis to confirm that the outsourced billing company is managing the patient encounter caseload.
Attends meetings and maintains effective communication with all areas of the center.
Complies with HIPAA, HITRUST, CRIT’s compliance program and PCI regulations as this position has access to protected health information
Oversees the implementation of energy conservation and sustainability initiatives to reduce the environmental impact of facility operations.
Reviews reports and analytical information from the Chief Operating Officer and Chief Medical Officer in order to recommend process improvement of the organization in regards to efficiency, productivity and growth of the organization.
Ensures compliance with environmental, health and safety regulations, maintaining a safe and secure environment for employees and visitors.
Provides support in facilities operations, including oversight of building access, coordination of minor maintenance needs, and management of facilities service requests to ensure a safe and well
Ensures timely completion of building maintenance tasks by coordinating with the facilities technician.
Oversees cleaning schedules to maintain a safe and sanitary clinical environment.
Coordinates room setups for events and meetings.
Serves as the primary operational contact for facilities-related issues, escalating to the COO when necessary.
Performs other duties, tasks and special projects as assigned.
KNOWLEDGE, SKILLS & ABILITIES
Education Experience License & Certification Testing Other
  • Bachelor’s Degree in Business, Healthcare administration or equivalent
  • Master’s Degree in Healthcare Administration or equivalent
  • 5 years of Medical Office experience
  • Valid Texas Driver License
  • Criminal background check
  • Non-DOT drug test
• Acceptable MVR • MS Office Programs
