Job Summary
The Practice Outcomes Coordinator (POC) reports directly to the Vice President (VP) acting as the Medical Group’s primary coordinator and liaison for internal and external relations. The POC assumes responsibility for filtering projects; responds to requests; and collaborates on Communications, Business Development and Public Relations activities and initiatives. The POC manages the VP calendar and activities to ensure maximum efficiency and value. The POC is responsible for performing administrative and clerical tasks for the management team to support business functions and operations. Practice Outcomes Coordinator acts as a liaison between team members and the executives, sharing the employees' concerns and addressing their inquiries. They prepare company reports, monitor business and financial transactions, schedule appointments, and suggest project management procedures.
Responsibilities
Responsible for day-to-day management of the Vice President’s calendar and activities to ensure high value time utilization of the VP in relationship to external and internal requirements. Brief/update the VP on upcoming meetings and ongoing obligations.
Responsible for the timely preparation and presentation of materials for key external and internal meetings involving the VP and Service Line Directors.
Drafts documents or conducts research to further VP’s work in program and or development.
Works with Business Development, Marketing, Communications and/or Program teams to prepare VP and management team for external meetings, presentations, and events, and ensures timely follow up of all action items.
Organizes travel arrangements and prepare expense reports.
Prepares briefing memos and relevant updates for VP on outstanding projects, identifies issues, develops contingencies, and suggests remedies.
Assists with or manages special projects which may include PR, speaking engagements, annual reports, or specific personnel and organizational development initiatives.
Provides regular operating status reports as needed, assisting the VP during operational reviews through follow up on assigned performance tasks and deadlines.
Acts as a liaison to the Board of Directors, attends Service Line Meetings, other meetings, takes minutes, prepares various materials for VP and management team reports; works with the VP and management team to prepare materials for various meetings, and assists in ongoing communications and activities.
Supports the VP and Directors in dealing with confidential or sensitive personnel or other organizational matters.
Collaborates with VP and Directors to foster a success-oriented, positive, high integrity organizational culture.
Works to support the Management Team and provide assistance as needed.
Knowledge, Skills & Abilities
Light Work: Frequent lifting and/or carrying of objects weighing up to 10 lbs. with a maximum lifting of 25 lbs.
Minimum 1-2 years’ experience as executive assistant to C-level position or project management and demonstrated success working with hospital senior leadership and physicians preferred.
Excellent organizational skills: flexible and able to multi-task, with demonstrated resourcefulness in setting priorities.
Consistently completing tasks on-time, free of errors with the ability to prioritize.
Strong verbal and written communication skills; ability to effectively present and execute on innovative ideas. Ability to write reports and business correspondence. Outstanding grammar and proofreading skills.
Strong sense of accountability, integrity, and ability to handle highly visible responsibilities.
Excellent analytical skills: ability to quickly aggregate and analyze information.
Ability to take initiative, act independently and directs one’s own work.
Ability to work collaboratively and build effective relationships with key stakeholders, Service Line Directors, Administration, Board of Directors, Physicians, and external partners.
Able to handle stressful situations with measured calmness and decisiveness.
Guided by exceptional common sense, maturity, discretion, and the ability to maintain confidentiality.
Advanced knowledge of Microsoft Office Suite Products
