Job Title: Procurement and Facilities Clerk
Department: Office Operations

Reports To: Director of Office Operations


Summary:

The Facilities Clerk is responsible for maintaining Bug Master assets and inventories of vehicles, equipment, and chemicals. They maintain clean and organized facilities and ensure that our team has the equipment and materials required for service delivery. This role requires a highly organized individual who can manage multiple tasks simultaneously, think creatively to solve problems, communicate effectively with team members and vendors, and utilize computer tools to perform daily responsibilities. This position requires weekly travel to the Temple office; fuel expenses will be covered, and a company vehicle may be provided when running errands or making deliveries.

Essential Duties and Responsibilities:

Include but are not limited to the following, as additional duties and responsibilities may be assigned.

  • Maintain a clean and organized facility.
  • Compile information and records to draw up purchase orders for procurement of materials and services.
  • Prepare purchase orders and compare suppliers' bills with bids and purchase orders to verify accuracy.
  • Perform buying duties when necessary.
  • Prepare, maintain, and review purchasing files, reports, and price lists.
  • Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
  • Maintain material and chemical inventory by tracking, receiving, and distributing materials.
  • Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
  • Track the status of requisitions, contracts, and orders.
  • Ensure that keys, materials, and equipment for the next day's jobs are prepared and distributed.
  • Ensure that vehicles are properly assigned to drivers.
  • Maintain spare trucks and ensure they are prepared prior to assignment.
  • Travel to the Temple office once a week; gas is provided for this travel.
  • Use a company vehicle when necessary to run errands or transport supplies.
  • Apply creative thinking to improve processes and solve logistical challenges.
  • Other duties as required.

Education/Experience

  • High school diploma or general education degree (GED) is required.

Required Skills/Abilities

  • Highly organized with strong time-management abilities.
  • Capable of handling multiple tasks at a high level without sacrificing accuracy or efficiency.
  • Strong creative thinking and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficient computer skills with knowledge of standard office software and tools (e.g., email, spreadsheets, inventory systems).
  • Basic knowledge of small engines, tools, and equipment.
  • Ability to create and maintain professional relationships within all levels of the organization (peers, work groups, customers, supervisors).
  • Ability to work independently and as a member of a team.
  • Flexibility to operate and self-driven to excel in a fast-paced environment.
  • Ability to operate related office equipment including multi-line phone, printer, calculator, two-way radio, and fax machine.
