Job Title: Procurement Executive

Job Summary:
The role focuses on assisting in vendor coordination, quotation comparison, purchase order processing, and maintaining procurement records.
Key Responsibilities:
- Assist in identifying and sourcing potential suppliers for required materials, products, and services.
- Obtain quotations from multiple vendors and ensure competitive pricing.
- Conduct comparative analysis of quotations based on price, quality, specifications, and delivery timelines.
- Prepare, review, and process purchase orders under the supervision of senior management.
- Coordinate with vendors to confirm orders, track shipments, and ensure timely delivery.
- Follow up regularly with suppliers regarding order status, delays, and discrepancies.
- Maintain accurate and up-to-date records of all procurement transactions, including purchase orders, invoices, and delivery notes.
- Ensure proper documentation and filing for audit and record-keeping purposes.
- Liaise with internal departments (e.g., production, operations, and accounts) to understand material requirements and urgency.
- Monitor inventory levels and notify management about stock shortages and replenishment needs.
- Assist in vendor evaluation by tracking supplier performance, quality, and reliability.
- Maintain and update the supplier database, including contact details and pricing history.
- Ensure compliance with company procurement policies, procedures, and ethical standards.
- Support in negotiating basic terms with vendors under supervision.
- Assist in resolving any procurement-related issues such as damaged goods, incorrect deliveries, or payment discrepancies.
Requirements:
- Minimum qualification: Intermediate (FA/FSc or equivalent).
- 1–2 years of relevant experience in procurement or supply chain (preferred but not mandatory).
- Must own a motorbike for field visits, market surveys, and procurement activities.
- Willingness to travel locally as required for vendor visits and material sourcing.
- Strong sense of responsibility, dedication, and reliability.
- Basic knowledge of procurement processes and documentation.
- Good communication and coordination skills.
- Ability to manage time effectively and handle multiple tasks simultaneously.
- Basic computer skills (MS Excel, Word, and email communication).
Preferred Skills:
- Basic negotiation skills.
- Attention to detail and problem-solving ability.
- Familiarity with local markets and vendors.
- Ability to work under pressure and meet deadlines.
Working Conditions:
- Combination of office-based work and field visits.
