The Procurement & Administration Executive manages the end-to-end sourcing of fit-out materials and subcontractors while handling essential office administrative operations. This hybrid role requires a strong understanding of interior fit-out components, excellent negotiation skills, and the organizational ability to keep both project supply chains and administrative workflows running smoothly.
Key Responsibilities
- Sourcing: Find and evaluate reliable suppliers and subcontractors for fit-out materials, joinery, and MEP services.
- Negotiation: Obtain competitive quotes, negotiate pricing, payment terms, and delivery schedules to maximize cost savings.
- RFQs & Analysis: Issue Requests for Quotations (RFQs) and prepare detailed cost comparison sheets for management approval.
- PO Management: Generate and issue Purchase Orders (POs) and Local Purchase Orders (LPOs) accurately.
- Expediting: Track order status, coordinate deliveries with site teams, and resolve supplier delays or discrepancies.
Administrative Tasks
- Documentation: Maintain up-to-date vendor registration logs, procurement files, and contract databases.
- Invoice Verification: Check supplier invoices against delivery notes and POs before forwarding them to finance.
- Office Admin: Manage general office maintenance, order office utilities, and handle incoming and outgoing corporate correspondence.
- Compliance: Ensure all vendor documentation, trade licenses, and insurance certificates comply with company policies.
Requirements
- Experience: 3 to 5 years of proven experience in a combined procurement and administration role within the interior fit-out or construction/contracting industry.
- Industry Knowledge: Solid understanding of fit-out materials, finishing items, joinery works, and glass or metal works.
