Procurement Executive - Facility Management

Key Responsibilities:

• Source and procure materials, spare parts, tools, and equipment for maintenance and facilities operations.
• Work closely with facilities, maintenance, and engineering teams to forecast material needs.
• Review requisitions for accuracy and ensure timely processing of purchase orders.
• Identify reliable suppliers, obtain quotes, and evaluate pricing, lead times, and quality.
• Negotiate with vendors to secure cost-effective terms while ensuring material specifications are met.
• Maintain and update records of materials, stock levels, and supplier performance.
• Coordinate with warehouse or stores personnel for inventory control and reordering of critical items.
• Ensure all purchases comply with company procurement policies and health and safety standards.
• Monitor delivery schedules and resolve supply issues or discrepancies with vendors.
• Assist in the development of procurement strategies that optimize material availability and cost-efficiency.
• Support audits and reporting related to procurement activities.

Key Skills and Competencies:

• In-depth knowledge of procurement processes and material supply chain management.
• Familiarity with facilities maintenance materials and MRO (Maintenance, Repair & Operations) items.
• Strong negotiation, communication, and vendor management skills.
• High attention to detail and ability to manage multiple procurement activities simultaneously.
• Proficient in procurement software and Microsoft Office Suite (Excel, Word, etc.).
• Understanding of inventory control, material safety standards, and logistics coordination.

Qualifications and Experience:

• Bachelor’s degree or diploma
• Minimum of 3 years of experience in procurement, preferably in a facilities or maintenance environment.
