Procurement & Logistics Officer

The Procurement & Logistics Officer is responsible for managing and coordinating procurement, sourcing, and logistics activities across the Group, including its subsidiaries. The role ensures effective procurement governance, cost control, timely sourcing, and logistics coordination while supporting multiple business units through a shared-services model. The role supports operational efficiency, compliance, and value-for-money purchasing aligned with group policies and business requirements.

Key Responsibilities:

Group Procurement Governance & Compliance

• Implement and maintain group-wide procurement policies, procedures, and approval frameworks.
• Ensure procurement activities comply with internal governance, delegation of authority, and audit requirements.
• Maintain transparent documentation for sourcing, quotations, approvals, and vendor selection.
• Support internal and external audits by providing procurement and logistics documentation as required.
• Suggest a robust method to source local and international vendors to create a list of preferred supplier.
• Effective communication ensures seamless operations and adherence to regulatory requirements.

Procurement Operations & Sourcing

• Manage end-to-end procurement activities including PRs, RFQs, vendor sourcing, evaluations, POs, and follow-up.
• Obtain and analyze supplier quotations to ensure cost-effectiveness, quality, and delivery timelines.
• Coordinate with internal stakeholders across subsidiaries to understand procurement requirements and specifications.
• Support contract administration and coordination with Legal and Finance where applicable.
• Ensure timely delivery of goods and services in line with operational requirements leadership.
• Partner with department heads and operational leaders to support informed decision-making on procurement needs.
• Stay abreast of market trends, industry developments, and regulatory requirements to inform procurement decisions.

Inventory control

• Monitor stock levels, manage reorder points, and optimize inventory to prevent shortages or overstock.
• Manage vendor relationships and monitor supplier performance to ensure compliance with contractual agreements and quality standards.

Logistics Operations

• Plan and schedule shipments, coordinate transportation from suppliers to warehouses or office site location,
• Develop logistics strategies to optimize costs, improve efficiency, and maintain quality standards.
• Identify opportunities to streamline operations, implement innovative solutions, and adopt technology to enhance logistics efficiency and sustainability.

Change Management and Implementation

• Lead procurement activities for new implementations and change management initiatives across the group, ensuring alignment with business objectives and timelines.
• Analyze and understand business requirements and identify optimal solutions that deliver long-term sustainability while maintaining cost efficiency.
• Lead procurement activities related to ERP implementation projects, including sourcing, vendor evaluation, and contract management for systems such as SAP, Oracle, and Microsoft Dynamics.
• Maintain accurate and comprehensive documentation of all procurement and logistics activities, ensuring compliance, transparency, and audit readiness.

Education and Technical Qualifications

• Bachelor’s degree in Supply Chain Management or related degree in Operation Management or Logistics.
• Ideally MBA in Supply Chain Management.
• Professional certification (CIPS, APICS) preferred
• Proficiency in using the ERP systems

Language Skills

• Written and spoken English. Arabic or Tagalog is required

Years of Experience

• Minimum 5- 7 years of experience managing procurement operations, with at least 3 years in a reputable UAE based group, holding, or multi-entity environment company.
• At least 1 year experience in change management, new implementation and process improvement methodologies
• Proficiency in procuring ERP systems, software, and have led the projects
• Use of Excel for data analysis, and familiarity with e-sourcing platforms
• Ability to learn and recommend emerging technologies like automation tools for logistics optimization
