As we continue to grow, we’re looking for a highly organized and detail-oriented Purchasing & Procurement Officer to help streamline our purchasing processes, manage supplier relationships, and ensure that all projects have the materials they need to succeed.
Position Overview
The Purchasing & Procurement Officer will be responsible for managing the sourcing, purchasing, and supply of materials, equipment, and services needed for the renovation and maintenance projects. This role will ensure that all procurement activities are carried out in a cost-effective, timely, and efficient manner, while adhering to company policies and maintaining excellent relationships with suppliers and vendors.
Key Responsibilities
- Procurement & Sourcing:
- Source and purchase materials, tools, and services for renovation and maintenance projects based on project specifications and requirements.
- Identify and evaluate potential suppliers and vendors to ensure the best quality, pricing, and delivery terms.
- Negotiate favorable terms and contracts with suppliers to obtain the best possible pricing and payment conditions.
- Inventory Management:
- Maintain accurate and up-to-date records of stock levels, ensuring that essential materials and equipment are available for projects without overstocking.
- Monitor inventory usage across projects, ensuring that stock is used efficiently and re-ordered in a timely manner.
- Coordinate the delivery and storage of materials to prevent delays or damage.
- Order Processing & Documentation:
- Prepare purchase orders, track orders from suppliers, and confirm delivery schedules.
- Maintain proper documentation for each purchase, ensuring accuracy in invoices, delivery receipts, and purchase orders.
- Ensure that all transactions comply with company policies and procedures.
- Cost Control & Budget Management:
- Assist in the preparation and management of project procurement budgets, ensuring that purchases stay within the allocated budget.
- Track expenditures and identify cost-saving opportunities without compromising quality.
- Review and analyze purchase prices, shipping costs, and supplier performance to optimize procurement processes.
- Supplier & Vendor Management:
- Build and maintain strong relationships with suppliers and vendors, ensuring timely delivery of materials and services.
- Manage supplier performance and address any issues related to quality, delivery, or pricing.
- Evaluate supplier contracts and ensure compliance with agreed-upon terms.
- Coordination with Project Teams:
- Work closely with project managers, engineers, and site supervisors to determine material needs and project timelines.
- Ensure that all materials and equipment are delivered to the correct job sites on time and in the required quantities.
- Risk Management:
- Identify and mitigate potential risks related to material procurement, such as delays in delivery or fluctuations in prices.
- Proactively address any supply chain disruptions and develop alternative sourcing strategies when needed.
- Compliance & Quality Assurance:
- Ensure that all materials purchased meet company quality standards and are compliant with relevant building codes and regulations.
- Regularly review supplier contracts and agreements to ensure they meet legal and regulatory requirements.
- Reporting & Analysis:
- Prepare regular procurement reports for management, highlighting savings, expenditures, and supplier performance.
- Analyze purchasing trends, market prices, and industry changes to improve procurement strategies.
Qualifications
- Education:
- Bachelor’s degree in Supply Chain Management, Business Administration, Civil Engineering, or a related field.
- Experience:
- 3–5 years of experience in procurement or purchasing, preferably within the construction, renovation, or maintenance industry.
- Proven experience managing supplier relationships, negotiating contracts, and ensuring timely deliveries.
- Familiarity with procurement software and systems (e.g., SAP, Oracle, or other ERP tools) is a plus.
- Skills & Competencies:
- Strong negotiation and communication skills.
- Excellent organizational and time-management skills with attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Knowledge of inventory management and cost control practices.
- Strong analytical skills and the ability to identify cost-saving opportunities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and procurement software.
- Language Skills:
- Proficiency in English is required. Knowledge of Arabic is an advantage but not mandatory.
