To support the procurement department in sourcing, purchasing, and tracking materials, tools, and services required for carpentry production. The Junior Procurement Officer ensures timely supply, accurate documentation, and cost-effective purchasing while maintaining strong vendor relationships and compliance with factory standards.
Key Responsibilities
1. Material Purchasing & Sourcing
- Assist in sourcing raw materials such as timber, MDF, plywood, hardware, adhesives, paints, and finishing materials.
- Obtain and compare quotations from approved suppliers.
- Ensure materials meet required technical specifications and quality standards.
- Prepare purchase requests and purchase orders in the ERP system.
2. Vendor Coordination
- Maintain regular communication with suppliers regarding pricing, delivery schedules, and stock availability.
- Follow up with vendors to ensure on-time delivery of materials.
- Support in evaluating vendor performance (quality, delivery, pricing).
3. Inventory & Stock Monitoring
- Coordinate with the warehouse team to track stock levels and identify material shortages.
- Assist in maintaining minimum stock levels for critical carpentry items.
- Report slow-moving or non-moving items for management review.
4. Documentation & Compliance
- Maintain accurate purchasing records, contracts, delivery notes, and invoices.
- Ensure procurement activities comply with company policies and quality standards.
- Assist in updating supplier lists and procurement documentation.
5. Cost Control & Efficiency
- Support cost-saving initiatives through negotiation and alternative sourcing.
- Help identify opportunities for reducing material waste and optimizing procurement cycles.
6. Coordination With Production Team
- Communicate production requirements to suppliers in coordination with factory and planning teams.
- Ensure urgent or special project material requests are prioritized.
- Resolve any discrepancies in quantity, quality, or delivery issues.
Qualifications & Skills
Education
- Diploma or Bachelor’s degree in Supply Chain, Business Administration, Engineering, or related field.
Experience
- 2 years of experience in procurement; experience in carpentry, joinery, or manufacturing is an advantage.
Technical Skills
- Basic understanding of carpentry materials, woodworking processes, and hardware types.
- Familiarity with ERP or procurement software (SAP, Oracle, Odoo, etc.)
- Strong negotiation and communication skills.
- Proficiency in MS Office (Excel, Word, Outlook).
