The Procurement and Scheduling Coordinator is responsible for ensuring that all materials and supplies are accurately sourced and obtained, while maintaining a production schedule that adheres to strict deadlines. Purchasing requires quoting materials from multiple vendors to find the correct supplies, at competitive pricing, and arriving for production in time. Scheduling requires tracking completion dates, material arrivals, and production availability to meet our aggressive deadlines and installation schedule. This role acts as a bridge between production and project management to ensure jobs are accurately completed by their due dates.
Key Responsibilities:
· Identify, evaluate, and select vendors/suppliers for materials and supplies needed (paints, vinyl’s, metals, plastics, hardware, power elements, etc)
· Coordinate with vendors to negotiate pricing, lead times, and product availability.
· Issue purchase orders to supplies and follow our in-house purchasing procedure.
· Monitor supplier performance (on-time delivery, quality, cost, and reliability).
· Track and maintain inventory levels to prevent shortages, including our internal KANBAN system.
· Maintain proper documentation including purchase orders, order confirmations, invoices, quality certifications, contracts, etc.
· Coordinate with Accounting department to ensure pricing and terms are accurate.
· Manage production schedules and coordinate with production manager to align capacity and labor.
· Adjust schedules and coordinate with team in response to potential delays.
· Keep internal systems updated at all times.
· Work directly with internal team to ensure accurate job completions are on-time.
Qualifications:
· Associates or Bachelor’s Degree in Supply Chain, Business Administration, Operations or a related field, or equivalent work experience.
· At least 2-4 years in production, material sourcing, scheduling or operations in a manufacturing environment (bonus if in sign manufacturing).
· Strong organizational skills, attention to detail, ability to multi-task and switch tasks at any moment.
· Ability to adjust plans when issues arise to solve problems.
· Ability to manage time effectively according to production availability, material arrival, and due dates.
This position has a schedule of Monday through Friday, 8am to 4:30pm, with an expectation of 40 hours per week. There is an hourly rate of $25 - $28 per hour, depending upon experience. Benefits are available after 60 days of employment, which include holiday pay, sick and vacation pay, health insurance and a 401k retirement plan.
