Production Coordinator

As a Production Coordinator at Kotn, you will be an integral part of the Supply Chain Team, responsible for coordinating the bulk manufacturing of raw materials and finished goods. Your primary focus will be to ensure production aligns with the overall company product strategy, sustainability standards, and market needs.

This is Full time, in office position

What you’ll be working on:
Order Management and Production Followup (60%)

• Ownership over the full order lifecycle from PO issuance till delivery & shipping.
• Manage the buy confirmation to negotiate the best delivery with vendors. Analyze the capacity and capability of vendors to make sure they can deliver the right product on time.
• Prepare Time & Action plans for each order/program to ensure target delivery date is achieved
• Daily follow up on orders status to ensure on-time delivery.
• Timely update of orders’ progress on KOTN system/tools.
• Manage production process which includes WIP and PO changes.
• Work closely with factories to ensure on time delivery, troubleshoot issues.
• Visit factories in Egypt on a weekly basis or hold virtual meetings with factories outside of Egypt for production tracking on a weekly basis.
• Take lead in resolving any potential and current issues (alert / communication / short & long-term solution) with cross functional teams to minimize the impact.
• Train the vendors on Kotn’s production and logistics policies, processes, and IT systems; roll out new processes, strategies, and systems to assigned vendors as needed.
• Assist in forecasting to plan future orders.
• Assist in materials and vendor sourcing as needed

Material Management and Procurement (10%)

• Manage ordering of Materials/accessories sourced/provided by KOTN.
• Follow up and keep record of Fabric and Trims orders and delivery for each vendor and PO.
• Follow up on liability SOP with vendors due to MOQ, cancellation or others
• Assist in Materials forecasting and supplier sourcing as needed

Shipping and Invoicing (10%)

• Review and submit vendor invoices to Account Payables on time.
• Work closely with the Accounts Payable team to reconcile invoices / investigate discrepancies / raise proforma invoices / follow up accounts credit release.
• Manage shipping of ready orders by coordinating bookings and handover between vendor and forwarder. Negotiate shipping costs to meet target shipping budget.
• Review and submit shipment documents to L&D Team on time to make sure smooth receiving into KOTN warehouse.

Communication & Coordination (20%)

• Strong communication via email/video/phone with factory and mill partners
• Work closely with Product Development on development tasks progress and highlight potential issues/delays and propose solutions to get back on track.
• Work closely with Quality Control team on planning testing requirements and inspection plan
• Develop strong cross functional relationships

Additional Requirements:
