In accordance with the Agreement between Organization of School Administrators and Supervisors (OSAS) and the Board of Education of the School District of the City of Detroit, the following vacancy is announced.
Position Summary:
The Program Associate II will perform accurate and timely entry of employee and organizational data within the PeopleSoft Human Resources system. This position maintains integrity of employee records, supports HR reporting needs, and assists with the maintenance of core PeopleSoft data structures, including department IDs, locations, and job codes. The Data Entry Specialist also partners with HR stakeholders to improve data entry processes, provides reporting support, and contributes to HR projects, including the transition to fully electronic personnel records.
Minimum Qualifications:
Education:
Bachelor's degree with a concentration in Human Resources, Information systems, Business or related from an accredited institution.
A minimum of three (3) years of related work experience and/or training; or an equivalent combination of education and experience will be considered in lieu of a bachelor's degree.
Experience:
Minimum of four (3) years of experience with student, human capital or financial systems; PeopleSoft 9.0+ or equivalent Human Resources Information Systems (HRIS), and web-based navigation in a large or complex organization, preferably in a school district.
Must be proficient with Microsoft 365 applications (Word, Excel, PowerPoint, SharePoint, Outlook).
Must possess exemplary organizational skills, work well independently or as part of a team.
Customer Relationship Management (CRM): Must have highly effective verbal and written communication skills. Demonstrated ability to communicate and work effectively with employees at all levels throughout the organization. Ability to function as a team leader and team member as situation requires. Effectively plan and monitor data entry/project turnaround times and manages customer expectations.
Proficient in the use of PeopleSoft HCM, HRIS or other applicable human capital system and word processing tools for information management.
Under the supervision of Director (or Designee), the Program Associate II will:
Essential Functions:
Perform data entry in PeopleSoft HR to create and maintain employee job records, personal and education profiles, and position management updates.
Add and update personal information, including contact details, addresses, and emergency contacts.
Process compensation and salary updates, pay group assignments, and employment status changes.
Enter and maintain benefits enrollment data, including leave plans and retirement plans.
Run audits and queries to confirm the accuracy and integrity of all data entered.
Execute custom and standard reports using PeopleSoft Query for HR, Payroll, Finance, and other business partners.
Partner with stakeholders to review reporting outcomes and recommend improvements to data entry and maintenance processes.
Provide employee data reports as needed for decision-making and compliance purposes.
Assist with special HR projects requiring data entry, reporting, or file management support.
Identify opportunities for process improvement to enhance data entry efficiency and accuracy.
Assist with updates to position data, job codes, pay groups, department tables, location tables and reporting relationships.
Convert candidate files and new hire documentation into electronic personnel files.
Support the District's initiative to transition from paper-based personnel records to an online-only hiring and records management process.
Exercises the utmost discretion working with confidential information required, ensuring the confidential nature of information, including the privacy and confidentiality of all information and data through appropriate security processes.
Performs other duties as assigned.
Security Clearance:
Internal Applicants
If you are a current Detroit Public Schools Community District employee, you do not have to submit to a new security clearance, unless your new role requires a different type of criminal background check.
External Applicants
In alignment with Michigan law, if you are hired to fill a position, you will be required to submit to a Detroit Public Schools Community District criminal background check. Information regarding required background checks will be shared at point of hire.
