Job Summary:


We are seeking a highly organized and detail-oriented Project Administrator to support our estimating department within a fast-paced construction finishes environment. This role is critical to the pre-construction process, ensuring all information is accurately gathered, organized, and communicated to support timely and precise estimate preparation. Training will be provided.

Responsibilities Include:


  • Support the estimating department by coordinating calendars, deadlines, and workflow to ensure timely delivery of bids and proposals.
  • Review construction plans with the estimating team and assist in completing material and labor take-offs to support accurate project pricing.
  • Gather, organize, and verify all project information required for estimate preparation, ensuring completeness and accuracy prior to submission.
  • Coordinate closely with the estimating team to prepare accurate, timely project quotes and pricing packages.
  • Prepare detailed cost breakdowns and proposals for builder and commercial accounts.
  • Review and refine quotes to ensure pricing accuracy, completeness, and alignment with project scope.
  • Manage follow-up communication on outstanding estimates, tracking status and supporting timely responses.
  • Monitor construction portals and project schedules to ensure accurate production and material timelines, maintaining clear documentation of updates and changes.
  • Communicate with builders, vendors, and internal teams to provide responsive, professional support and assist with issue resolution.
  • Maintain organized records, documents, and files related to estimates, construction plans, and project documentation.
  • Support procurement activities and assist with inventory coordination and tracking as needed.
  • Provide ongoing administrative support to ensure smooth daily operations within the estimating department.
  • Manage incoming department calls, emails, and inquiries promptly and professionally, directing items to the appropriate team members when needed


Requirements:


  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and changing schedules in a fast-paced environment.
  • Exceptional attention to detail and accuracy in documentation, data entry, and record-keeping.
  • Proven experience in an administrative, estimating, scheduling, or purchasing role (preferred).
  • Ability to work effectively both independently and as part of a collaborative team, with a proactive, solutions-focused mindset.
  • Excellent written and verbal communication skills, with a professional and client-focused approach.
  • Proficiency with Microsoft Office (Outlook, Excel, Word) and comfort learning new software systems.
  • Strong problem-solving skills and the ability to adapt quickly as priorities shift throughout the day.
  • Knowledge of construction materials, quantification, and basic project workflows (helpful but not required).
  • Commitment to providing a high level of service to builder accounts, clients, and internal teams.
