Job Purpose:
The Project Commercial Coordinator will be responsible for managing the commercial, cost, resource, and performance control aspects of all company projects. The role ensures accurate project costing, resource planning, progress monitoring, budget control, subcontractor coordination, tender preparation, and management reporting to support profitable and timely project delivery.
Key Responsibilities1. Project Cost Management & Control
- Prepare project budgets and cost breakdown structures upon project award.
- Develop manpower allocation plans and resource cost forecasts.
- Monitor actual project costs against approved budgets.
- Track:
- Planned cost
- Actual cost
- Remaining cost to complete
- Project profitability
- Identify cost overruns and highlight risks to management.
- Maintain project cost control dashboards.
- Prepare project financial performance reports.
2. Resource Planning & Productivity Monitoring
- Coordinate with Project Managers to prepare resource loading plans.
- Track manpower allocation across multiple projects.
- Monitor:
- Available capacity
- Utilization percentage
- Productivity
- Idle resources
- Prepare weekly resource forecasts.
- Support management in resource optimization.
3. Project Planning & Progress Monitoring
- Prepare project baseline schedules.
- Coordinate with PMs for project execution plans.
- Track:
- Planned vs actual progress
- Delays
- Recovery plans
- Critical activities
- Maintain project progress trackers.
- Prepare weekly and monthly project progress reports.
- Support preparation of client progress submissions.
4. Tendering & Proposal Management
- Review client RFQs, drawings, BIM requirements, and scope documents.
- Prepare:
- Cost estimation
- Manhour estimation
- Resource requirements
- Commercial proposals
- Coordinate technical inputs from BIM Managers / Discipline Leads.
- Maintain tender database and pricing records.
- Prepare tender comparison reports.
5. Subcontractor Management
- Source and coordinate with subcontractors/vendors.
- Issue RFQs and collect quotations.
- Prepare subcontractor comparison sheets.
- Assist in subcontract negotiations.
- Monitor subcontractor:
- Deliverables
- Progress
- Payments
- Variations
- Maintain subcontractor performance records.
6. Contracts & Commercial Administration
- Review project commercial terms.
- Maintain:
- Contracts
- Purchase orders
- Variation records
- Payment milestones
- Track invoices and payment certifications.
- Coordinate with accounts for:
- Billing schedules
- Receivables
- Cash flow forecasts
7. Variation & Claims Support
- Identify scope changes.
- Maintain variation registers.
- Prepare cost impact assessments.
- Support preparation of:
- Variation submissions
- Extension of time records
- Commercial claims
8. Management Reporting
Prepare weekly/monthly dashboards covering:
- Project status
- Financial performance
- Resource utilization
- Revenue forecast
- Invoice status
- Risks/issues
- Subcontractor status
Required Qualifications
- Bachelor’s Degree in Quantity Surveying / Civil Engineering / Construction Management.
- 5–8 years experience in QS, commercial coordination, or project controls.
- Experience in consultancy, BIM, engineering, or construction environment preferred.
