Basic Purpose / Accountabilities
- The Assistant Project Coordinator will play a crucial role in assisting the Projects Coordinator in the successful execution of projects by coordinating administrative, logistical, and operational activities on-site. The Assistant Project Coordinator will ensure smooth project workflow, timely completion of tasks, and adherence to project schedules, budgets, and quality standards.
Primary Functions / Responsibilities / Duties
- Assist the Projects Coordinator in the preparation and maintenance of project documentation, including contracts, permits, drawings, specifications, and project plans. Organize and maintain project files, records, and correspondence, ensuring accuracy, completeness, and accessibility for project team members and stakeholders.
- Coordinate project progress / execution with site supervisors, including site access, equipment rentals, material deliveries, and subcontractor scheduling, to ensure timely and efficient project operations. Procure and track project supplies, tools, and equipment, and manage inventory levels to support site activities and minimize disruptions.
- Facilitate communication and coordination among project team members, subcontractors, vendors, and stakeholders, ensuring alignment of project objectives and expectations. Schedule and organize project meetings, including kick-off meetings, progress meetings, and safety meetings, and prepare meeting agendas, minutes, and action items.
- Assist the Projects Coordinator in the development and maintenance of project schedules, milestones, and timelines, and monitor progress against schedule targets to identify delays or potential issues. Coordinate with subcontractors and trade contractors to ensure timely completion of tasks, resolve scheduling conflicts, and adjust project plans as needed.
- Assist the Projects Coordinator in implementing and enforcing quality assurance processes and procedures to ensure construction activities meet project specifications, codes, and standards. Assist the Projects Coordinator to Conduct inspections, audits, and walkthroughs to verify compliance with safety regulations, quality requirements, and environmental standards.
- Support the implementation of safety programs, policies, and procedures to maintain a safe and healthy work environment for all project personnel. Assist in conducting safety training sessions, toolbox talks, and safety audits, and address safety concerns and incidents promptly and appropriately.
- Support project budget management by tracking project expenses, labor costs, and material costs, and comparing actual expenditures against budgeted amounts.
- Assist the Projects Coordinator to Prepare regular budget reports, cost forecasts, and variance analyses for review by project management and stakeholders, and assist in budget reconciliation and cost control efforts.
- Assist the Projects Coordinator Prepare and distribute project reports, progress updates, and documentation to project stakeholders, including project status reports, milestone summaries, and incident reports. Maintain accurate and up-to-date project logs and track the resolution of outstanding issues.
