Job Purpose:
The Project Management Assistant will play a critical coordination and support role in the successful delivery of a large-scale logistics zone development. The position is responsible for closely monitoring project progress, maintaining structured communication flows, and ensuring alignment between the Project Management Consultant (PMC), internal senior management, and the internal civil engineering team. The role requires strong organizational skills, attention to detail, and the ability to manage information across multiple stakeholders in a fast-moving development environment.
Key Responsibilities:

Support the Senior Project Manager in tracking project milestones, deliverables, risks, and dependencies.

Maintain and update comprehensive project dashboards, reports, and action logs.

Follow up with PMC and internal teams to ensure timely closure of actions and submission of technical deliverables.

Assist in reviewing project schedules, progress reports, and performance KPIs.

Serve as a coordination hub between PMC, senior management, and the civil engineering team.

Prepare clear summaries, briefs, and status updates for internal and external stakeholders.

Organize and document weekly and monthly project review meetings; prepare agendas, minutes, and action point trackers.

Ensure accurate and timely escalation of issues to relevant senior stakeholders.

Maintain a structured document control system for drawings, reports, RFI logs, approvals, and change requests.

Support compliance with regulatory, SEZ, and internal governance procedures.

Coordinate submission of technical documents to authorities, consultants, or internal reviewers as required.

Facilitate communication between the civil engineering team and PMC regarding site updates, design queries, and engineering issues.

Assist in gathering technical inputs and ensuring they are incorporated into PMC reviews and project actions.

Help track engineering design development, revisions, and approval timelines.

Coordinate site visits, workshops, and stakeholder meetings.

Assist in procurement coordination tasks such as collecting technical specifications and following up with vendors or consultants.

Support preparation of management presentations, project briefs, and board-level reporting material.
Experience & Qualifications:
-
Bachelor’s degree in engineering, Project Management, Construction Management, Business Administration, or a related field.

2–5 years’ experience in project coordination, PMO support, engineering administration, or similar roles (preferably in construction, infrastructure, logistics, or industrial development projects).

Experience working with or alongside PMCs, engineering teams, or senior business management preferred.
Skills:

Proficiency in MS Office (Excel, PowerPoint, Word, Power Bi); experience with MS Project or other Projects software.
