We are looking for a versatile and technically competent Project & Operations Coordinator to support the Project Manager in all aspects of project planning, cost estimation, quotation preparation, procurement, documentation, and operations. The ideal candidate will combine mechanical technical understanding with strong organizational and communication skills to facilitate smooth project execution and business development support.
Key Responsibilities:
1 . Cost Estimation & Commercial Support
- Analyze mechanical drawings, datasheets, technical specifications, and project scopes to determine accurate material, labor, and operational costs.
- Prepare precise and competitive cost estimations, BOQs, and MTOs for tenders and project proposals.
- Draft, format, and issue quotations and commercial proposals to clients and coordinate follow ups.
- Monitor project budgets and track actual costs against planned estimations.
- Support financial and commercial decision-making by providing accurate cost analysis reports.
2. Project Coordination & Planning
- Assist the Project Manager in scheduling, tracking milestones, and maintaining timelines for multiple ongoing projects.
- Prepare and maintain project progress reports, status updates, and dashboards for management.
- Identify risks, resource gaps, and potential delays, and communicate them promptly for mitigation.
- Ensure smooth coordination between project design, execution, and procurement teams.
3. Procurement & Resource Management
- Support procurement by providing accurate technical specifications and documentation for mechanical components and materials.
- Track procurement progress, delivery schedules, and vendor performance.
- Assist in evaluating vendor quotations, comparing technical and commercial proposals, and coordinating approvals.
- Maintain detailed records of material issuance, inventory, and procurement files.
4. Document Control & Administration
- Establish and manage a structured system for digital and physical project documentation.
- Ensure proper filing, tracking, and retrieval of drawings, approvals, submittals, datasheets, and material certificates.
- Maintain compliance with internal quality standards, client requirements, and regulatory obligations.
- Support administrative tasks for the projects department, including correspondence, reporting, and record maintenance.
5. Technical Support
- Review and interpret mechanical drawings, P&IDs, datasheets, and design documents.
- Provide basic design support, including preparation of layouts, sketches, or visual materials for presentations and proposals.
- Assist engineering and project teams in resolving technical queries during execution.
6. Business & Marketing Support
- Assist in preparing project presentations, marketing materials, and client-facing documents as required.
- Support identification of business opportunities and preparation of pre-tender technical and cost evaluations.
- Act as a link between commercial, operations, and technical teams to facilitate business growth initiatives.
7. Soft Skills & Reporting
- Communicate effectively with internal teams, clients, vendors, and stakeholders.
- Maintain professional conduct and adhere to company policies, safety protocols, and operational standards.
- Report directly to the Project Manager for all tasks, timelines, and project execution matters.
- Demonstrate adaptability and willingness to take on diverse tasks across projects and operations.
8. Advantageous Skills:
- Exposure to tender preparation and client quotation processes.
- Basic knowledge of project management software or ERP systems.
- Familiarity with procurement processes, vendor evaluation, and material cost analysis.
- Experience in preparing visual layouts, presentation materials, or technical marketing support.
Qualifications & Skills:
- Bachelor’s Degree or Diploma in Mechanical Engineering (mandatory).
- Minimum 3 years of relevant experience in mechanical project coordination, estimation, or industrial operations.
- Strong technical understanding to read and interpret mechanical drawings, datasheets, and project specifications.
- Proficient in Microsoft Office Suite, particularly Excel for cost analysis, tracking, and reporting.
- Excellent communication, organizational, and multitasking skills.
- Ability to work independently, take initiative, and handle diverse tasks across projects.
