Property Manager

Work Schedule:

Monday - Friday 8 a.m. to 5 p.m. (subject to change)

Job Summary:

Reporting to the Director of Asset and Property Management, the Property Manager will be responsible for managing all day to day aspects of running a variety of properties.

Essential Functions:

  • Oversee the general contractors or any subcontractors through completion of construction/improvements/rehab
  • Review Scope of work, estimates, proposals
  • Review contracts for accuracy
  • Review contractors’ insurance certificates
  • Communicate with contractors and subcontractors
  • Manage contractor’s schedules to minimize delays
  • Manage and minimize change orders
  • Manage the leasing and/or disposition of completed/operating properties
  • Assist in the selection of the broker for the property
  • Keep in contact with broker on the marketing of the project
  • Manage escrow process
  • Correspond with tenants
  • Address maintenance issues in a timely manner
  • Maintain appropriate service contracts/purchase orders
  • Follow up with past due tenant balances
  • Initiate legal proceedings for delinquent tenants
  • Ensure new leases and renewals are executed satisfactorily
  • Prepare lease briefs, commencement letters, and other lease addendums
  • Handle security deposit refund requests for vacating tenants
  • Maintain tenant and vendor insurance certificates
  • Prepare budgets
  • Review for accuracy, code and forward project related invoices
  • Review monthly financials
  • Prepare A/R aging explanation report for monthly financials
  • Administration of leases for operating properties and management contracts for property management firms
  • Review letters of intent, purchase and sale agreements and other legal documents concerning investment-offering materials
  • Review and confirm escrow closing statements
  • Reporting and Communication
  • Interface with past, current and prospective banks investors in a timely and professional manner
  • Prepare and distribute complete, accurate, and timely quarterly Project Development Reports to banks and investors;
  • Review all external communication for accuracy
  • Follow up on all issues from (external and internal) contacts in a timely and professional manner
  • Maintain an open and proactive communication with members of senior management regarding appropriate information on projects managed;
  • Attend meetings (internal, external, city, county, etc.) as needed
  • Maintain current Rent Rolls and Leasing Status Sheets

Additional Functions:

  • Assist in development of cash flows/budgets and timelines
  • Assist in the development of budgets utilizing historical and current data
  • Understand how all decisions made affect the bottom line of a project;
  • Manage all costs to ensure maximum profitability;
  • Assist in the development of project timeline;
  • Coding and processing invoices;
  • Process and secure development entitlements/approvals through local municipalities
  • Communicate with City and County personnel, representing the company in a highly professional manner;
  • Follow up on verbal and written communication in a timely manner
  • Communicate with various government agencies regarding all bond and letter of credit requirements throughout the development of a project;
  • Obtain permits;
  • Obtain Certificates of Occupancy;
  • Obtain Conditional Use Permits (as needed)
  • Oversee the development of site plans and building specifications by the architects and engineers
  • Review contracts, insurance certificates, plans and working drawings
  • Communicate with contractors and subcontractors
  • Manage contractor’s schedules to minimize delays
  • Manage and minimize change orders
  • -Manage the due diligence process for new property acquisitions & disposition (close of escrow).
  • Coordinate with vendors/consultants to gather necessary due diligence materials;
  • Secure/coordinate/analyze/review due diligence material including, but not limited to:
  • ALTA Surveys
  • Building Plans/As Builts
  • PML’s (seismic)
  • Property Condition Reports
  • Environmental (Phase I’s, II’s, etc. ) and Soil Reports
  • Roof/HVAC Reports
  • Budgets
  • Operating Rent Rolls, Escalations/options
  • Title Docs
  • Exchange Documents and Facilitation
  • Tax Bills
  • Review reports to ensure accuracy in a timely manner
  • Coordinate the distribution to lender, appraiser, buyer, seller, attorney, etc.
  • Prepare investment opportunity packages for new partnerships; distribute to potential investors;
  • Collect all information from investors to finalize partnership documents;
  • Review partnership documents for accuracy of business structure
  • Assist with any special projects and other duties as requested

Knowledge, Skill and Experience

  • Minimum of 5 years of experience in commercial real estate, including direct property management responsibility
  • Demonstrated expertise in marketing and commercial leasing including the ability to understand local real estate market fundamentals and trends
  • Demonstrated experience with mortgage finance, financial reporting, property due-diligence, budget preparation and forecasting
  • Organized, self motivated, strong communication and analytic skills
  • Ability to multi-task with strong sense for meeting deadlines
  • Ability to work independently, exercise judgment, tact and diplomacy
  • Strong follow-through skills and detail orientated
  • Ability to organize and manage changing priorities
  • Aptitude for learning in a fast pace environment
  • Proficient computer skills with Outlook, Word and Excel and in real estate related software such as Yardi.
  • Team player with initiative/pro-active attitude/strong work ethic
  • Excellent time management skills
  • Professional attitude and decorum

Physical Demands

· Will constantly: keyboard

· Will frequently: stand, walk, sit, reach outward, and carry or push weights up to ten pounds

· Could occasionally: reach above the shoulder, squat or kneel, bend, and carry or push weights up to fifty pounds

Work Environment:

Primarily an office environment in a controlled atmosphere building. Some property tours may be conducted in industrial, warehouse, or retail buildings as well.

Job Type: Full-time

Pay: From $80,000.00 per year
