The Property Executive is responsible for assisting the Property Managers in managing assigned properties. This includes ensuring smooth tenant move-ins and move-outs, overseeing rental collections, managing maintenance activities, coordinating with accounts and legal teams, and providing regular reporting to management. The role ensures compliance with Standard Operating Procedures (SOPs), regulatory standards, and company policies while driving tenant satisfaction, operational efficiency, and optimal property performance.
Key Responsibilities
- Act as the primary point of contact and coordinator between the client and the contracting/interior team to ensure effective communication and project alignment.
- Liaise with real estate representatives upon interest from potential or departing tenants to ensure a smooth and efficient move-in and move-out process.
- Assist the Property Manager in following up and collecting rental payments, managing cheque replacements, and coordinating bank transfers with the Accounts Department.
- Collaborate with Residential and Commercial Property Managers during project execution and post-completion phases to verify the Bill of Quantities (BOQ) for building materials prior to purchase.
- Coordinate with the Accounts and Administration Departments to ensure adherence to exit and renewal procedures, including collection of balances, documentation, DEWA bills, maintenance invoices, and completion of property inspections as per company SOPs.
- Manage legal and compliance matters by coordinating with the Legal Department regarding property or tenant issues raised through relevant authorities or dispute centers.
- Oversee the maintenance of assigned properties through approved service providers, ensuring timely resolution and high standards of upkeep.
- Ensure compliance with fire, health, and safety regulations across all managed properties, promoting best practices and preventive measures.
- Work with the Accounts Department to ensure timely payment of all property-related expenses such as utility bills, maintenance charges, and service fees.
- Keep the Property Manager informed about tenant feedback, market trends, and competitor rates to support data-driven renewal and pricing decisions.
- Prepare and maintain move-in/move-out reports and ensure all records are systematically stored for management access.
- Generate monthly reports covering occupancy rates, rental collections, and areas for operational improvement.
- Follow the company’s leasing SOPs before initiating or renewing tenancy agreements. Coordinate with the Administration and Accounts Departments for Tenancy Contracts, Ejari Certificates, and related documentation.
- Supervise property maintenance activities, prepare snag lists and reports, and ensure all quotations are reviewed and approved before commencement of work.
- Implement company-approved precautionary measures and handle tenant complaints and emergency situations with appropriate approvals.
- Perform additional duties and responsibilities as assigned by the Property Manager, Senior Property Manager, or Management.
- Ensure compliance with all company Standard Operating Procedures (SOPs) in daily operations.
- Undertake other relevant responsibilities as delegated by senior management.
Qualifications & Skill Set
- High School Diploma or Bachelor’s degree in Property Management, Real Estate, Business Administration, or a related field.
- Fresh graduates with a strong interest and passion for property management and real estate are encouraged to apply.
- Proven ability to handle tenant relations, disputes, and legal matters professionally.
- Strong coordination skills across accounting, legal, and project management functions.
- Good understanding of tenancy laws, Ejari processes, property maintenance, and real estate market practices in the UAE.
- Excellent leadership, organizational, and problem-solving skills.
- Strong verbal and written communication skills in English; fluency in Arabic is an added advantage.
- Self-motivated, proactive, and able to take initiative to resolve issues independently.
- A valid UAE driving license and access to a car are mandatory.
Work Schedule & Location
- Employment Type: Full-time (8 hours/day – 5 working days/week)
- Work Days: Monday to Friday
- Timings: 9:00 AM to 6:00 PM
- Work Location: Al Quoz Industrial Area 3
- Travel: Local and international travel may be required as per business needs
