Overall Purpose of the Job

Support the BD team in the proposals production process to deliver high quality, well presented submissions. Prepare and produce pre-qualification and other bid documentation in area of responsibility.

Key Activities and Accountabilities

1. Receive all ITT’s (Invitation to Tender) and RFQ’s (Request for Quotations) and acknowledge their receipt and log them onto both Salesforce.com and the Bid Enquiry Log.

2. Complete tender enquiry form and circulate ITT to all designated personnel.

3. Liaise with relevant Sales or Client Account Managers and formulate ITT responsibility matrix.

4. Co-ordinate timely responses from designated parties for inclusion into ITT document.

5. Compile ITT document and submit to Client complete with relevant signatures and documentation. Ensure document content is accurate, visually appealing, delivered to rigid deadlines and in compliance with BD QMS.

6. Collate information from all Sales/Client Account Managers for inclusion into the Monthly Business Development Report.

7. Collate and update accurate track records for services for inclusion into ITT documents.

8. Maintain a bid archive and register.

9. Maintain a contract archive and register in area of responsibility.

10. Act as super user promoting data integrity and offering suggestions for improvement.

11. May be required to compile accurate market share statistics and ensure Salesforce.com is updated for the area of responsibility.

12. In conjunction with Sales and Client Account Managers, may be required to collate monthly sales and marketing report.

13. May be required to collate and distribute Client Contact Reports and Maintain Client Contact Database.

14. Where necessary, provide training and support to administration resources within BD team.

Job Knowledge and Qualifications

1. Previous experience in similar role typically gained through 5+ years experience.

2. Experience with Saleforce.com and database management systems

3. Proficient in Microsoft office (Excel, Powerpoint and Word)
