JOB TITLE: Provider Relations Coordinator

SUPERVISOR: CMO

HOURS PER WEEK: 25hrs/Exempt (Wednesday - Friday)

DEPARTMENT: Administration

HIRING BONUS: $1,000 after 90 days

PRIMARY FUNCTION: Work with senior medical leadership, administration and directly support the Chief Medical Officer (CMO) in managing the employee/partnership lifecycle of physician and providers. This includes recruitment, onboarding, development, retention, exit and advocacy. In addition, this role will serve as the liaison to the Credentialing Specialist to ensure provider credentialing information as it pertains to insurance plan participation, hospital privileges/affiliation, and state and federal licensures for providers, is complete and up to date.

DUTIES AND RESPONSIBILITIES: (*ESSENTIAL FUNCTIONS)
1. Manage full cycle recruiting for all physician and providers. This includes:
a. Evaluating current needs based on job openings*
b. Advertising for vacancies, managing provider job postings*
c. Screening candidates*
d. Arranging phone/remote and site interviews, expense reimbursement, relocation, site logistics, orientation, and other needs as they arise*
e. Collecting feedback from interview participants*
f. Communicating results with all parties*
g. Responding to applicant inquiries*
h. Working with any external recruiting vendors to ensure effective and efficient information sharing*
2. Ensure insurance panel participation/hospital privileges for newly hired providers prior to start date
3. Work with Credentialing Specialist as indicated to ensure all required information is available for credentialing tasks, including managing the collection of all required records and reports.
a. Work with Credentialing Specialist and the TPC Alberty Surgical Center administrative manager to complete ASC credentialing and recredentialing applications. Assist in credentialing providers with external ASC as needed.
b. Work as liaison to hospital systems for provider call contracts, provider required trainings and employee health requirements. Communicate this information to the Credentialing Specialist.
c. Facilitate and coordinate administrative meetings pertaining to providers regarding pressing needs and important topics of interest with CMO, branch and medical leadership, and administration, as appropriate.
4. Work with CMO and administration to coordinate and provide administrative support for provider committees and meetings:
a. Leadership Council
b. Schedule Change Criteria Committee
c. Partner Meeting
d. All Provider Meetings
5. Partner with CMO and Leadership Council to maintain and update provider policies
6. Work with CMO to maintain administrative calendar of provider events, meetings and engagements.
7. Coordinate the annual provider review process
8. Maintain awareness of Oregon Medical Board (OMB) requirements for licensure, policy changes and practice requirements. Work with CMO and clinical and administrative staff to maintain OMB compliance.
9. Review monthly OMB action report.
10. Plan and organize new and recurring events and programs in collaboration with Marketing
a. TPC Provider Retreat
b. AMGA Provider Satisfaction Survey
c. Provider social functions and other provider activities that promote culture and relationship-building.
11. Conduct provider exit interviews
12. Provide support for outreach events, job fairs and community activities.
13. Assist with the development and maintenance of provider profile content for the website and relevant communication channels.
14. Support Marketing on patient notification communications related to provider transitions.
15. Assist Human Resources department as needed.

17. Carry out other duties and responsibilities as directed by Administration.
18. Maintain regular, in person, work attendance and punctuality, as scheduled.*

REQUIREMENTS:
  • Bachelor’s degree in Healthcare Administration, or related field.
  • Must be highly organized and detail oriented.
  • Proficient in Microsoft Office Suite
  • Credentialing certification (CPCS) preferred but not required.
