Job Description – Purchase Executive

Department: Procurement / Supply Chain

Position Type: Full-Time

Position Overview

The Purchase Executive is responsible for managing procurement activities, ensuring timely sourcing of materials, products, and services required by the company. The role includes vendor coordination, price negotiation, order tracking, and maintaining accurate purchase records to support smooth operations across all Fincera departments (Interiors, Solar, Home Automation, and Retail).

Key Responsibilities1. Procurement & Sourcing

  • Identify, evaluate, and source reliable suppliers for materials, equipment, and services.
  • Request quotations (RFQs) and compare product specifications, prices, and delivery terms.
  • Ensure procurement aligns with company quality standards and budget.

2. Vendor Management

  • Maintain strong relationships with existing suppliers and develop new vendor networks.
  • Monitor vendor performance including quality, delivery timelines, and service.
  • Resolve supply issues, delays, and discrepancies with vendors.

3. Purchase Order Management

  • Create, process, and track Purchase Orders (POs) through ERP/CRM or internal systems.
  • Follow up regularly with suppliers to ensure timely delivery.
  • Coordinate with warehouse, store, and accounts teams for GRN, inventory, and payment cycles.

4. Cost Negotiation & Budget Control

  • Negotiate prices, payment terms, and contract conditions to achieve cost efficiency.
  • Analyze market trends and ensure competitive procurement.
  • Maintain strict control over purchase budgets and avoid overspending.

5. Documentation & Compliance

  • Maintain accurate documentation for quotations, purchase orders, invoices, and supplier contracts.
  • Ensure compliance with procurement policies and company SOPs.
  • Keep track of stock levels and raise POs proactively.

6. Coordination & Internal Communication

  • Collaborate with project teams, design teams, and department heads to understand material requirements.
  • Ensure materials arrive on-site or at the store according to project schedules.
  • Communicate expected delivery dates and delays proactively.

7. Reporting & Data Management

  • Maintain a purchase register and update procurement trackers daily.
  • Prepare weekly and monthly reports on purchases, vendor performance, and budgets.
  • Assist in audits, stock verifications, and internal reviews.

Required Qualifications & SkillsEducation:

  • Bachelor’s degree in Supply Chain, Business Administration, or relevant field.

Experience:

  • 2–4 years of experience in purchasing or supply chain (experience in interiors, construction, solar, or retail is a plus).

Technical Skills:

  • Strong command of MS Excel, ERP, or procurement systems.
  • Good understanding of material specifications and BOQs.

Soft Skills:

  • Excellent communication and negotiation skills.
  • Strong follow-up and coordination abilities.
  • Detail-oriented, proactive, and well-organized.
  • Ability to work under pressure and multitask.
