Job Purpose:
The Purchase Officer is responsible for sourcing, negotiating, and procuring materials, equipment, and services required for both trading and manufacturing operations. The role ensures timely availability of quality materials at the most competitive prices while maintaining vendor relationships and supporting organizational cost-efficiency and production needs.
Key Responsibilities:
· Identify, evaluate, and select reliable suppliers for raw materials, finished goods, consumables, and services.
· Source materials based on production needs, market availability, and quality standards.
· Request and compare quotations (RFQs), analyze pricing, quality, delivery terms, and recommend the best options.
· Negotiate pricing, payment terms, delivery schedules, and contract terms with suppliers.
· Prepare, issue, and track Purchase Orders (POs) ensuring accuracy in quantity, specifications, and delivery timeline.
· Monitor order confirmations and follow up to prevent delays.
· Develop and maintain strong relationships with local and international suppliers.
· Evaluate supplier performance regularly in terms of delivery, quality, and service.
· Maintain and update an approved supplier database.
· Coordinate with inventory/store and production teams to ensure optimal stock levels.
· Identify and implement cost-saving initiatives without compromising quality.
· Support in demand forecasting for planned manufacturing and trading cycles.
· Ensure all procurement activities adhere to company policies and ISO/QA standards (if applicable).
· Maintain purchasing records, contracts, supplier agreements, and documentation for audits.
· Ensure import/export documentation compliance for international purchases (if applicable).
· Collaborate with Production, Warehouse, Accounts, and Sales departments for procurement planning.
· Track procurement KPIs (lead time, cost reduction, supplier performance) and prepare regular reports.
· Escalate critical supply issues to management promptly.
Qualifications & Experience:
· Bachelor’s degree in Supply Chain Management, Business Administration, Commerce, or related field.
· 2–5 years of purchasing/procurement experience (preferably in trading and manufacturing industries).
· Knowledge of raw materials, production inputs, and trading items.
· Proficient in ERP systems (SAP, Oracle, Odoo, etc.) and MS Office.
