Purchase Officer cum Co ordinator

Role Purpose

The Procurement Officer will be responsible for managing all procurement activities of the company, including sourcing of equipment and fabrication materials, vendor management, cash flow coordination for purchases, and assisting with vendor registration and approvals with client organizations. The role requires strong negotiation, organizational, and communication skills, with the ability to handle multiple priorities in a small but fast-paced water treatment business.

Key Responsibilities Procurement & Sourcing

  • Plan, source, and procure equipment, fabrication materials, spare parts, consumables, and services required for water treatment projects and operations.
  • Compare RFQs, evaluate quotations, negotiate prices, terms, and delivery schedules to achieve cost savings and timely delivery.
  • Develop and maintain a database of reliable suppliers and subcontractors for mechanical, electrical, and civil/fabrication works.
  • Monitor market trends, new suppliers, and alternative materials to optimize cost and lead time.

Vendor Management & Approvals

  • Handle documentation and processes for getting the company pre-qualified/approved as a sub-vendor or supplier with major clients (industrial, municipal, EPC companies).
  • Maintain records of vendor registrations, certifications, and compliance documents.
  • Build strong working relationships with suppliers and client procurement teams.

Cash Flow & Financial Coordination

  • Work closely with Accounts/Finance team to plan and forecast cash flow requirements for procurement.
  • Track purchase commitments, advance payments, and supplier invoices to ensure timely payments without disrupting project execution.
  • Ensure procurement activities align with project budgets and cost control measures.

Logistics & Coordination

  • Coordinate with logistics providers for import, export, and local deliveries.
  • Ensure compliance with customs, tax, and regulatory requirements for materials and equipment.
  • Track shipments and maintain updated delivery schedules for project teams.

Compliance & Documentation

  • Prepare and maintain purchase orders, vendor agreements, and procurement records.
  • Ensure adherence to company policies, quality standards, and client specifications in all procurement activities.
  • Support internal and external audits by providing required procurement documentation.

Qualifications & Skills

Experience:

  • 3–5 years of experience in procurement, preferably in water treatment, EPC, or industrial projects.
  • Familiarity with equipment and fabrication materials used in water treatment projects.
  • Familiarity with the Incoterms and process needed for a Free Zone company

Skills:

  • Strong negotiation and communication skills.
  • Good knowledge of vendor registration/pre-qualification processes.
  • Financial awareness and ability to align procurement with project cash flow.
  • Proficiency in MS Office; knowledge of ERP/procurement software is an advantage.
  • Strong organizational and multitasking ability in a small-team environment.
