Purchase Order (PO) Clerk – HVAC/Plumbing/Electrical Service Company

About the Role

We are seeking a detail-oriented Purchase Order (PO) Clerk to manage purchasing, vendor communication, and material flow using ServiceTitan. This role is essential in ensuring accurate purchase orders, timely delivery of materials, and clean job costing for our HVAC, plumbing, and electrical service and installation teams.

Key ResponsibilitiesPurchase Order Management

  • Create, issue, and track Purchase Orders in ServiceTitan for Service, Maintenance, and Installation departments.
  • Verify material pricing, quantities, and business units before PO creation.
  • Match packing slips, invoices, and received materials to corresponding POs.

Vendor Coordination

  • Communicate with vendors regarding pricing, lead times, order confirmations, and backorders.
  • Maintain updated vendor contact lists and escalate vendor delays or discrepancies.
  • Request updated price sheets and ensure pricing accuracy inside POs.

Inventory & Warehouse Support

  • Coordinate with warehouse staff on incoming deliveries and job staging needs.
  • Verify materials received match POs and resolve discrepancies promptly.
  • Assist with inventory accuracy, cycle counts, and restocking tasks when needed.

Job Costing & Documentation

  • Attach packing slips, quotes, and material receipts to jobs in ServiceTitan.
  • Ensure accurate job costing by linking correct items, equipment, and inventory to each work order.
  • Track returns and credits; follow up on vendor RMAs.

Accounts Payable Support

  • Submit approved POs and supporting documents to the AP team.
  • Assist with invoice matching and vendor statement reconciliation as requested.

Qualifications

  • 1–2 years of purchasing, warehouse, inventory, or AP experience required.
  • Experience with ServiceTitan strongly preferred.
  • HVAC, plumbing, or electrical industry experience is a plus.
  • Strong organizational skills with a high level of accuracy.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficient in Microsoft Office (Excel, Outlook).

Job Type: Full-time

Pay: $15.00 - $19.00 per hour
