Job Purpose
To support the procurement function by sourcing, evaluating, and managing suppliers while ensuring the availability of materials and services at the best value. The Purchasing Specialist plays a key role in maintaining smooth supply chain operations, controlling costs, and building strong vendor relationships that directly contribute to Barns' operational excellence and growth.
Key Responsibilities

Source and evaluate suppliers to secure competitive pricing and high-quality products

Process purchase orders accurately and ensure timely delivery of goods and services

Negotiate contracts, pricing, and payment terms with vendors in line with company policies

Monitor and manage inventory levels to prevent shortages or overstock situations

Conduct market research to identify new suppliers, alternatives, and emerging trends

Collaborate with Operations, Finance, Warehouse, and other departments to understand and fulfill procurement needs

Maintain accurate purchasing records, reports, and documentation in Microsoft Dynamics

Follow up on outstanding orders and resolve supply issues or delivery discrepancies promptly

Evaluate supplier performance regularly and recommend corrective actions when needed

Prepare and analyze purchasing reports to support cost-saving initiatives and budget planning

Review and verify invoices against purchase orders to ensure accuracy before payment processing

Ensure all purchasing activities comply with company policies, approval workflows, and regulatory requirements

Support the development and implementation of procurement strategies aligned with business goals

Coordinate with the logistics team to track shipments and ensure on-time delivery

Assist in managing contracts and renewals to ensure favorable terms and continuity of supply

Identify opportunities for cost reduction, process improvement, and supplier consolidation

Maintain an up-to-date approved vendor list and ensure suppliers meet Barns' quality standards
Qualifications

Bachelor's degree in Supply Chain, Business Administration, or related field

2–4 years of experience in purchasing or procurement — F&B or retail preferred

Hands-on experience with
Microsoft Dynamics

Strong negotiation and communication skills

Proficiency in Microsoft Excel and Office Suite

Detail-oriented with the ability to manage multiple priorities
