Purchasing Associate - Procurement

Job Summary

ibex, on behalf of one of its Global clients, is hiring a detail-oriented and proactive Purchasing Associate to support HVAC installation projects, with working hours from 12:00 PM to 9:00 PM (PST) . In this role, you will be responsible for sourcing, purchasing, and tracking equipment and inventory to ensure seamless project execution. The ideal candidate thrives in a fast-paced environment, communicates effectively, and collaborates across teams to ensure materials are available when and where they are needed. Your contribution will directly impact operational efficiency and project success.

Key Responsibilities

• Create, manage, and maintain purchase orders for equipment and inventory required for HVAC installation projects.
• Track orders and deliveries to support project timelines and ensure on-time availability of materials.
• Monitor inventory levels to prevent shortages and maintain production schedules.
• Maintain appropriate consignment equipment stock to meet operational needs.
• Communicate clearly and professionally with internal teams—including Accounting, Sales, Installation, Customer Service, and Warehouse—as well as external vendors and suppliers.
• Identify and resolve discrepancies, troubleshoot purchasing issues, and recommend process improvements.
• Support team and company goals by performing additional duties as assigned.

Required Qualifications

• Minimum 2 years of experience in purchasing, procurement, or a related supply chain role.
• HVAC industry experience is a plus.
• Comfortable working the 12:00 PM – 9:00 PM shift (PST).
• Strong understanding of purchasing best practices and supply chain processes.
• Proficiency with computers and ability to quickly learn and use ERP or other company software systems.
• Excellent verbal and written communication skills.
• Proven ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
