Job Title: Purchasing Coordinator – External Purchasing

  • ROLE OVERVIEW

We are seeking a Procurement Coordinator with solid experience in external and international purchasing within the F&B sector. The role focuses on managing overseas suppliers, import documentation, logistics coordination, and ensuring timely delivery of food products, packaging, and kitchen equipment in full compliance with local regulations and food safety standards.


  • KEY RESPONSIBILITIES

1. Coordinate external and international purchase orders with overseas suppliers.

2. Manage supplier communication related to pricing, lead times, shipping terms, and documentation.

3. Prepare and follow up on import and procurement contracts in coordination with vendors.

4. Ensure compliance with Saudi import regulations, SFDA requirements, and food safety standards.

5. Coordinate with logistics providers, customs clearance agents, and warehouses for inbound shipments.

6. Track shipments — especially perishable and cold chain items — and ensure timely clearance and delivery.

7. Handle procurement documentation with banks, including Letters of Credit (LCs) and related trade documents.

8. Review shipping documents: Commercial Invoice, Packing List, COO, Health Certificates, BL/AWB.

9. Maintain and evaluate an approved international supplier database.

10. Coordinate with finance on invoice verification, payments, and supplier reconciliations.

11. Prepare regular procurement and shipment status reports for management.

12. Support the Procurement Manager in optimizing external sourcing strategies and cost efficiency.


  • QUALIFICATIONS & EXPERIENCE


1.EDUCATION

Bachelor's degree in Business Administration, Supply Chain, Accounting, or a related field.

2.EXPERIENCE

Minimum 2+ years in external / international procurement within the F&B industry — mandatory.

3.KNOWLEDGE

Strong understanding of import procedures, customs clearance, Incoterms, and LC processes.

4.REGULATORY

Familiarity with SFDA regulations, food safety standards, and cold chain logistics.

5.LANGUAGES

Fluent in Arabic and English — written and spoken.

6.SYSTEMS

Proficient in Microsoft Office and procurement / ERP systems
