Purchasing & Estimating Administrative Assistant

Bay to Beach Builders, a premier custom home builder serving Delaware and Maryland’s Eastern Shore, is seeking a detail-oriented and proactive Administrative Assistant to support our expanding Purchasing and Estimating Department. This essential role ensures the seamless flow of communication, documentation, and coordination between our vendors, internal departments, and homebuilding teams.

We are looking for someone who thrives in a fast-paced environment, has experience with construction materials, and is highly skilled in purchase order (PO) systems. This is an exciting opportunity to be a key part of bringing custom dream homes to life.

Key Responsibilities

  • Provide day-to-day administrative support to the Purchasing and Estimating team.
  • Generate, track, and manage purchase orders and material procurement using PO software systems.
  • Collaborate with vendors and trade partners to obtain quotes, verify pricing, and coordinate delivery schedules.
  • Assist with cost estimate preparation, bid tracking, and document management.
  • Maintain accurate records of materials, contracts, pricing logs, and subcontractor/vendor databases.
  • Support pre-construction processes by organizing takeoffs, bid forms, and scopes of work.
  • Perform data entry and reporting with a high level of accuracy and attention to detail.
  • Coordinate department communications and scheduling as needed.

Qualifications

  • 3+ years of experience in construction administration, purchasing, estimating, or a related role.
  • Knowledge of construction materials, homebuilding terminology, and vendor coordination.
  • Experience with purchase order systems and construction project management software like Buildertrend (preferred).
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication, multitasking, and time-management skills.
  • Highly organized with a keen eye for detail and accuracy.
  • Ability to work both independently and collaboratively within a team.

Compensation: $50,000–$65,000 annually, based on experience. Full company benefits package including 100% paid healthcare.
