Purchasing Executive

Job Purpose

To manage and coordinate the purchasing activities for food-related raw materials and products, ensuring timely procurement of quality goods at competitive prices to support uninterrupted production and operations.

Key Responsibilities

• Receive and review material requisitions from various departments.
• Identify and source reliable suppliers/vendors for food items
• Request and collect quotations from multiple suppliers for price comparison.
• Prepare price comparison sheets and obtain management approval for purchases.
• Issue Local Purchase Orders (LPOs) to approved vendors.
• Follow up on order confirmation, delivery schedules, and ensure timely delivery.
• Inspect or coordinate quality checks on delivered food items to ensure they meet company standards.
• Maintain updated records of suppliers, price lists, purchase orders, and delivery notes.
• Coordinate with the accounts team to process vendor invoices and ensure timely payments.
• Monitor stock levels and plan purchases to avoid shortages or overstocking.
• Negotiate prices, terms, and delivery schedules to achieve cost savings.
• Ensure compliance with company procurement policies and food safety regulations.
• Handle any issues related to delayed deliveries, quality complaints, or discrepancies.
• Prepare periodic reports on purchasing activities and cost analysis.

Qualifications and Skills

• Female candidates are preferred.
• Bachelor’s degree in Supply Chain, Business Administration, or related field.
• Minimum 2–3 years of experience in purchasing, preferably in food or FMCG sector.
• Strong negotiation and communication skills.
• Knowledge of food safety standards and handling requirements (especially for perishable items).
• Proficiency in MS Office (Excel, Word) and procurement software/ERP systems.
• Strong organizational and time management abilities.
• Attention to detail and accuracy.
• Ability to work under pressure and meet deadlines.
