The Purchasing Specialist position at Therm-x Modesto is a comprehensive role responsible for overseeing purchasing along with daily administrative and operational activities. In addition to core office management responsibilities, this role will manage daily purchasing and support customer-related processes.
Responsibilities and duties include but are not limited to;
Purchasing and Customer Service

Sourcing: Research and evaluate suppliers based on price, quality, selection, service, support, availability, and reliability. Responsible for requests to add new vendors.

Supplier Management: Responsible for open orders and invoice discrepancies. Development of programs to improve internal purchasing procedures. Monitor cost, schedule and scope of assigned subcontracts to assure best quality, value and timely delivery.

Purchase Order Placement: Responsible for using ERP system to process all approved purchase requisitions, as well as daily material requirement demands. Follows up on deliveries and expedites as needed. Negotiate and administer contracts with suppliers. Follow up on POs related to deliveries, documentation, accounting and pull in requests with vendors.

Purchasing: Procure MRO and consumables, office supplies. Procurement of Tooling and supplies based on CAP system and special job requirements. Maintain accurate costs in the ERP system

Planning: Responsible for job planning from Work Order generation from quote to delivery including timing of supplies, and delivery commitment. Work Order generation to Support the top level production plan. Use ERP system to determine when to generate and release work orders to manufacturing to meet On Time Delivery of products to next level Customer (Internal and External)

Supply Management: Responsible for availability of production raw material, tools and job necessities. Replenish inventory in a timely manner using ERP system reports

Customer Service: Correspond to customers related to open PO deliveries, change requests and quality resolutions. Files and maintains records related to orders, confirmations and customer correspondence as required for daily operations and controls. Respond to and work with the quality dept to resolve QC issues related to customer support. Work with customers for form completion, QA and accounting to qualify and add to ERP system.
Office Management

Office Functions: Oversee daily office operations and administrative functions to ensure the office runs efficiently and professionally. Maintain and organize company records, documents, and filing systems. Coordinate office procedures, manage incoming and outgoing correspondence, and support internal communication across departments. Monitor office supply inventory, place orders as needed, and ensure all office equipment is functioning properly.

Maintenance: Coordinator with our corporate office and outside vendors to ensure all IT, facilities, and maintenance issues are resolved in a timely manner.

Communication: Serve as the point of contact between different Therm-x locations to ensure proper coordination and implementation of new procedures and policies.
Desired Skills and knowledge.

5 years of office management in a manufacturing environment a plus.

APICS certification is desirable.

Ability to achieve results in a fast-paced growth environment through analysis and collaboration with internal and external relationships.

Self-starter, comfortable working independently and with others.

Ability to interact with and establish relationships with employees at all levels.

General Windows and Microsoft Office skills. Above average skills with MS Excel.
