Position Title: Receiving Clerk

Location: Shreveport Job Corps Center, Shreveport, LA

Reports To: Property Officer

The Receiving Clerk position provides support for a U.S Department of Labor Job Corps contractor. The Job Corps program is a federally-funded residential training program. The mission of Job Corps is to provide career-ready technical and academic training and job placement assistance to program eligible youth ages 16-24.

Summary of Duties: The Receiving Clerk is responsible for assisting
the Purchasing and Property Coordinators by checking in shipments received and
distributing supplies as needed and requested.

Key Areas of Responsibilities:

  • Promotes the Department initiatives and functions.
  • Maintains integrity guidelines and ensure that data is not manipulated.
  • Ensures timely processing of inventory received.
  • Accurately types all required information.
  • Demonstrates the ability to transfer data from one document to another with an emphasis on detail and error recognition.
  • Performs related data entry and data verification essential and consistent with
    purchasing guidelines.
  • Makes contact with vendors as required.
  • Maintains department files, records and logs.
  • Ensures files, records and logs are maintained in sequential or other prescribed methods and that documents reflect quality by maintaining all information in a systematic format for easy review and auditing.
  • Ensures documents are received and returned by vendors in a timely manner.
  • Interfaces with Finance and Purchasing Departments for exchange of required information.
  • Maintains integrity of systems.
  • Demonstrates knowledge of all DOL, FAR, Corporate and Center requirements. Follows all applicable procurement regulations to include those contained in the FAR, DOL acquisition standards, OMB circulars, and executive orders.
  • Maintains open communication. Does follow-up as necessary.
  • Completes copying, typing and filing as requested and needed.
  • Produces legible copies of requested materials.
  • Proofreads typed documents prior to returning to originator.
  • Prepares weekly reports and other required DOL, Corporate and Center reports.
  • Types Standard Operating Procedures (SOPs), plans, meeting minutes, agenda memos, reports, correspondence, newsletters and any other item as directed.
  • Demonstrates attention to detail, ensuring that documents generated from within the department are well written, comprehensive, error-free and of a high quality.
  • Engages in research related to special topics and projects to increase awareness and resource capacity.
  • Maintains department files to include SOPs, weekly reports, weekly summation reports, JCRL reports, etc.
  • Performs other duties as requested by department supervisor.
  • Schedules and attends office meetings, sends out required reports, runs office errands, attends training, acts proactively, completes tasks in a timely and proficient manner, tracks and follows through on action items, exercises good judgment and problem-solving skills on manager’s behalf, and other comparable duties.
  • Enters information into the CIS and keeps necessary files and records.
  • Maintains accurate hard and electronic copy files as necessary to ensure department meets DOL, Corporate, and Center expectations.
  • Runs CIS reports to ensure information entered is accurate.
  • Maintains other computer systems as necessary.
  • Controls inventory and ensures the department areas are attractive, clean, safe and in good repair.
  • Completes PRs and check requests to include budget management.
  • Ensures that POs are received and filed initially, and that the items requested are
    received in a timely manner.
  • Ensures that all equipment assigned to the department is properly accounted for and maintained in good condition.
  • Initiates work orders and ensures that repairs are completed in a timely manner. Ensures that work area, including supervisor’s area and other assigned areas, are attractive, clean and safe at all times.

Education/Experience:

  • High School Diploma or equivalent.
  • One year of related experience.

Certifications/Licenses:

  • Valid state driver’s license
  • CPR/First Aid certifications
