About Us:
The Quality Assurance is responsible for monitoring the quality, communication, and overall performance of Virtual Assistants (VAs) working and supporting US-based clients. The role involves reviewing Zoom meeting recordings, monitoring Email and WhatsApp communication, auditing task sheets, and ensuring all operational processes are followed professionally and efficiently.
The ideal candidate will ensure high-quality client service, operational accuracy, timely task management, and strong communication standards across the VA team while maintaining accurate Quality Asurance reporting and operational tracking sheets.

Key Responsibilities
Quality Assurance & Monitoring
- Monitor and evaluate VA performance on daily operational tasks.
- Conduct quality audits of client communication through Zoom, Email, and WhatsApp.
- Ensure VAs maintain professional communication standards with clients.
- Review and audit task sheets for accuracy, updates, and timely completion.
- Identify operational errors, missed follow-ups, or communication gaps.
- Maintain QA records, audit logs, and performance reports for each VA.
Zoom Meeting & Communication Review
- Review recorded Zoom meetings between VAs and clients.
- Ensure client instructions and meeting action items are properly documented.
- Evaluate communication quality, professionalism, responsiveness, and meeting etiquette.
- Verify that assigned tasks from meetings are properly updated and completed.
Task & Workflow Management
- Monitor daily task sheet management and updates.
- Ensure all client tasks are properly tracked and completed within deadlines.
- Coordinate with Operations and Team Leads to resolve workflow issues.
- Ensure operational SOPs and company standards are followed consistently.
Reporting & Documentation
- Maintain daily, weekly, and monthly QA reporting sheets.
- Keep accurate records of:
- QA audit scores
- Communication reviews
- Task completion tracking
- Performance issues
- Improvement reports
- Attendance and monitoring logs
- Submit reports to management within assigned timelines.
- Ensure all operational and QA data is updated and properly maintained.
Coaching & Performance Improvement
- Identify performance gaps and recommend improvements.
- Conduct refresher sessions on client handling and task management best practices.
Process Improvement
- Recommend improvements to operational workflows and QA systems.
- Help standardize communication, reporting, and monitoring processes.
- Support management in improving overall client satisfaction and operational efficiency.
Required Qualifications
- Bachelor’s degree preferred.
- 2–4 years of experience in QA, Operations, or Team Monitoring.
- Experience in BPO, VA services, or remote operations preferred.
- Strong understanding of professional communication standards.
Proficiency in:
- Zoom
- Google Sheets / Excel
- Email communication
- WhatsApp communication
- Task management tools
- Excellent English communication skills (written & verbal).
- Strong attention to detail and organizational skills.
