Real Estate Admin Coordinator

Job Summary

We are seeking a highly organized and proactive Admin Coordinator to oversee and streamline the day-to-day operations of our property portfolio. This leadership role requires a deep understanding of real estate operations, strong managerial skills, and the ability to implement systems and processes that ensure efficiency, compliance, and client satisfaction.

Key Responsibilities Operations Management

  • Oversee daily operations across all departments including leasing, property management, sales, and facilities.
  • Optimize workflows to ensure timely and efficient service delivery.
  • Monitor KPIs and implement improvements across service, sales, and property portfolios.

Property & Portfolio Oversight

  • Manage a portfolio of residential and commercial properties.
  • Ensure all properties are compliant with local laws and regulations (RERA, DLD, etc.).
  • Coordinate maintenance, inspections, and facility management teams.

Team & Vendor Management

  • Lead, train, and support a team of property agents, admin staff, and field teams.
  • Manage relationships with service providers, contractors, and external vendors.
  • Develop and implement SOPs (Standard Operating Procedures) for various departments.

Client & Stakeholder Engagement

  • Act as the primary contact for high-value clients and owners.
  • Resolve tenant issues, disputes, and escalations efficiently.
  • Support leasing and sales efforts through operational coordination.

Reporting & Compliance

  • Maintain accurate financial and operational reports.
  • Prepare monthly performance reports for senior management.
  • Ensure all company practices are compliant with UAE regulations and RERA policies.

Requirements

  • Bachelor’s degree in Business Administration, Real Estate, or a related field. MBA is a plus.
  • Minimum 2+ years of experience in real estate operations, with at least 2 years in a managerial role.
  • Strong knowledge of Dubai real estate laws, RERA guidelines, and DLD processes.
  • Proficient in CRM systems and Microsoft Office Suite.
  • Excellent leadership, communication, and problem-solving skills.
  • Ability to multitask and manage teams in a fast-paced environment.
