Real Estate Administrator

Key Responsibilities

1. Administrative & Secretarial Support

  • Manage office correspondence, including emails, calls, and in-person inquiries.
  • Prepare, format, and maintain documents such as tenancy contracts, Ejari certificates, quotations, invoices, and official letters.
  • Schedule and coordinate meetings, property viewings, and appointments for management or agents.
  • Maintain an organized filing system (physical & digital) for contracts, property records, and client information.
  • Draft professional letters, memos, and reports.

2. Real Estate Documentation

  • Prepare and process tenancy contracts, addendums, and renewals in compliance with UAE tenancy laws.
  • Handle Ejari registrations, cancellations, and updates via the DLD portal.
  • Track and follow up on lease expiries, rent renewals, and payment schedules.
  • Process security deposits, rent receipts, and related financial documentation.

3. Client & Tenant Coordination

  • Serve as the primary point of contact for tenants, landlords, and prospective clients.
  • Address tenant queries, complaints, and maintenance requests promptly.
  • Assist in arranging property inspections, move-in/move-out procedures, and handovers.
  • Follow up on overdue payments and coordinate with accounts for collections.

4. Regulatory Compliance

  • Stay updated on Dubai tenancy laws, RERA guidelines, and DLD procedures.
  • Ensure all contracts and transactions meet regulatory requirements.
  • Maintain accurate property listings and marketing materials in compliance with advertising standards.

5. Office & Operational Support

  • Order and manage office supplies.
  • Assist with marketing materials, social media postings, and property advertisements.
  • Support management in preparing presentations, market reports, and other business documents.

6. Additional Admin Support

  • Owner has another company (coffeeshop) responsible in placing orders for the food and handling admin works.

QUALIFICATIONS

  • Education: Diploma or bachelor’s degree in business administration, Real Estate, or related field.
  • Experience: Minimum 2 years in an administrative/secretarial role in real estate or property management in Dubai (MANDATORY).
  • Technical Skills: Proficiency in MS Office (Word, Excel, Outlook, PowerPoint), knowledge of DLD/Ejari portal
  • Language: Excellent written and verbal communication skills in English

Ability to work under pressure and meet deadlines.

Pay: AED1.00 - AED5,000.00 per month
