Job Purpose:
The Receptionist serves as the first point of contact for AFG College. The role is responsible for managing front desk operations, welcoming visitors, answering inquiries, directing calls, and providing administrative support to ensure smooth daily operations.
Key Responsibilities:
- Front Desk Management
- Greet and welcome visitors, staff, students, and parents in a professional manner.
- Maintain a tidy and organized reception area at all times.
- Communication Handling
- Answer, screen, and forward incoming calls promptly and accurately.
- Handle email and other correspondence addressed to the reception.
- Provide accurate information to inquiries regarding the college’s services, programs, and procedures.
- Visitor & Staff Support
- Register and guide visitors, ensuring proper security and ID protocols are followed.
- Coordinate with staff and departments regarding appointments and meetings.
- Assist students and parents with basic queries and direct them to the appropriate office.
- Administrative Support
- Manage scheduling of meeting rooms and appointments.
- Support the HR and Admin team with clerical tasks such as filing, photocopying, and documentation.
- Distribute mail, parcels, and internal communication.
- Compliance & Confidentiality
- Ensure all information handled at the front desk is treated with strict confidentiality.
- Follow the college’s policies, procedures, and safeguarding guidelines.
Qualifications & Requirements:
- Minimum of a Diploma/Degree in Administration or related field preferred.
- Proven experience as a receptionist, front desk officer, or similar role (experience in an academic setting is an advantage).
- Advanced communication skills in English.
- Strong interpersonal skills, professional appearance, and customer service orientation.
- Proficiency in MS Office (Word, Excel, Outlook) and ability to handle multi-line phone systems.
- Ability to multitask, prioritize, and remain calm under pressure.
- Strong organizational and time-management skills.
