Receptionist

ADSS is seeking a professional, Receptionist to join our Dubai office. In this role, the Receptionist will be the face of ADSS, welcoming and supporting clients, visitors, and team members while ensuring efficient administrative support. The responsibilities will include greeting guests, managing client interactions, answering and directing calls, handling mail and deliveries, maintaining an organized reception area, and assisting with office-wide administrative tasks. The ideal candidate will have decent administrating experience, excellent communication skills, and a professional demeanor. This role requires a proactive and outgoing individual who thrives in a fast-paced environment and is dedicated to delivering top-tier customer service with professionalism.


Key Responsibilities & Accountabilities:


  • Managing the company’s reception area to ensure a professional image of the company is maintained.
  • Greet and directing visitors, including clients, vendors and candidates, in a welcoming and courteous manner.
  • Answer and direct incoming calls, talking messages when necessary and routing calls through the switchboard to the correct extension number.
  • Handle and distributing couriers’ deliveries to ensure that tracking is in place.
  • Assisting with ad-hoc completion of paperwork, obtaining signatures and security procedures are adhered to for all visitors.
  • Maintain and update employee records, databases, and office directories.
  • Assist with various administrative tasks such as data entry, paper filing, managing the meeting rooms, including organizing stationary, and catering needs of the office.
  • Work collaboratively with management to ensure a smooth flow of communication and operations.
  • Actively follow and promote safety and security policies and ensure that fellow employees and visitors are doing the same to ensure a safe and secure workplace for all.


Qualifications:


  • High School Diploma or equivalent.


Experience:


  • 1-2 years of experience as a receptionist or similar role.


Skills:


  • Good knowledge of Microsoft packages including word and excel and basic office equipment.
  • Strong communication and interpersonal skills.
  • Confident, organized and detail oriented.
  • Ability to multitask and prioritize tasks effectively.
  • Excellent phone etiquette.
  • Prior experience managing internal and external client relationships.
  • Strong sense of personal initiative and professional dedication
  • Professional and courteous manner and comfortable interacting with senior management and VIP guests .
  • Bilingual – English and Arabic required. Any additional languages are an advantage.
