Key Responsibilities:
- Greet clients and visitors warmly, ensuring a welcoming and supportive atmosphere.
- Handle incoming calls, emails, and WhatsApp inquiries with sensitivity and professionalism.
- Schedule, confirm, and manage therapy appointments using the clinic’s booking system.
- Maintain client confidentiality at all times as per ethical and legal guidelines.
- Coordinate with psychologists, therapists, and other staff for smooth daily operations.
- Maintain and update client records, appointment logs, and payment receipts accurately.
- Assist clients in filling out intake forms and explain general clinic procedures.
- Manage waiting area ambiance — ensuring comfort and privacy for all clients.
- Collect and record consultation fees and provide receipts as needed.
- Support administrative tasks such as inventory management, file organization, and reports.
- Handle sensitive situations calmly and direct emergencies to appropriate personnel.
Required Qualifications & Skills:
- Bachelor’s degree preferred (Psychology, Management, or related field desirable).
- Proven experience as a receptionist, preferably in healthcare or counselling settings.
- Excellent verbal and written communication skills (English & Malayalam preferred).
- Empathy, patience, and the ability to handle distressed clients sensitively.
- Strong multitasking and organizational abilities.
- Basic computer literacy (MS Office, appointment software, CRM tools).
- Professional appearance and positive demeanor.
