Receptionist

Overview
We are seeking an energetic and detail-oriented Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer support, and ensuring smooth administrative workflows. Duties

  • Greet visitors and clients warmly, ensuring a professional and friendly atmosphere at all times
  • Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with promptness and accuracy
  • Maintain organized filing systems, data entry records, and ensure confidentiality of sensitive information
  • Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools
  • Support office management tasks such as ordering supplies, proofreading documents, and assisting with bookkeeping using QuickBooks or similar software
  • Provide administrative support including typing reports, proofreading documents, and supporting customer service efforts to ensure client satisfaction

Requirements

  • Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly desirable to assist diverse clientele and team members
  • Experience with multi-line phone systems, calendar management, and customer support is essential
  • Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial tasks
  • Demonstrated professionalism with strong phone etiquette and customer service skills
  • Previous experience in medical or dental reception is advantageous but not required; relevant personal assistant experience is also valued
